Rentals Coordinator Assistant Flamingo Gardens Davie, FL Job Details Part-time $18 - $19 an hour 1 day ago Benefits Health insurance Dental insurance Paid time off Qualifications Teamwork Outdoor work Event planning Administrative experience High school diploma or GED Driver's License Organizational skills Full Job Description Primary Function The Rentals Coordinator Assistant reports to the Special Programs Coordinator and is responsible for booking rentals, day of coordination events in rental space and office administrative duties. This position will involve a mix of outreach, coordination, marketing and event management. 1. Cold Calling & Client Outreach Proactively cold call corporations, businesses and other potential clients to promote and secure meeting space rentals. Develop and maintain positive relationships with corporate clients for repeat business. 2. Marketing & Promotion Distribute marketing materials in key local and regional markets to drive awareness of rental services. Assist in developing and executive marketing strategies to promote birthday party rentals, corporate rentals and photoshoot/filming services. Develop and maintain targeted advertising efforts for various rental services (e.g. print, digital, social media) Create social media calendar and content to promote rentals at Flamingo Gardens. 3. Event Coordination & Management. Facilitate the coordination and booking of corporate rental events, photoshoots, filming sessions, and birthday parties. Ensure all event details are accurately communicated and organized, including scheduling, logistics and client requests. Provide on site support for all rentals, including coordination and timely event set up and breakdown, ensuring a smooth and seamless experience for clients. 4. Inventory & Equipment Management. Create and maintain a detailed inventory of event equipment, decorations and other assets related to rentals. Ensure that all rental equipment is well maintained, properly stored and regularly inspected for quality and functionality. 5. Collaboration with Events Department. Assist the Events department with special event set uo, breakdown, marketing and other event day needs as needed. Collaborate with the Events team to ensure that the venue meets all client requirements and expectations. 6. Administrative Support. Create and manage bookings in POS system. Maintain accurate and up to date records of rental bookings, client communications and inventory. Process rental contracts, invoices and payments as needed. assist in the planning and execution of additional event related tasks as required. 7. Sales Participate in setting monthly sales goals. Create and negotiate contracts for both clients and vendors. Meet and/or exceed monthly sales goals. Professional Qualifications High School diploma, Bachelors Degree or significant work experience. At least 1 year of comparable experience. Strong communication and interpersonal skills, both verbal and written. Ability to work independently and manage muliple tasks and simultaneously. Excellent organizational skills and attention to detail. Ability to handle customer inquiries and complaints and provide solutions in a professional and friendly manner. Comfortable with cold calling and reaching out to potential clients. Knowledge of event planning, marketing or hospitality is a plus but not required. Must be flexible with work hours including occasional weekends or evening as required by events. Sundays are required, this completes the Events department schedule of full week coverage. Proficient in Microsoft Office Suite (Word, Excel, Outlook) Canva ot other graphics software and general office equipment. Experience in POS platforms is a plus. Knowledge and Abilities The ideal candidate is a self starter and highly motivated, An enthusiastic professional who can take charge of meetings and manage multiple opinions and personalities. The Rentals Coordinator should have office management skills, be highly organized and be able to communicate effectively with others. Excellent communication skills including writing, proofreading and speaking. Ability to multitask effectively and efficiently. Excellent interpersonal skills both in person and by phone with high professionalism. Ability to work and think independently and discern work priorities. Ability to work evenings and weekends is a must. High Expectations for quality and excellent customer service ethics. Ability to direct customers, other team members and volunteers in a professional manner as needed. Physical Requirements Must be able to lift event equipment up to 50lbs. Walking, bending, stooping, kneeling, climbing and vigorous activity as needed. Vision sufficient to ensure safety, prepare and review paperwork and inspect conditions of facilities, equipment and systems. Speech and hearing sufficient to provide information, discuss work needed with others and provide instruction to others as needed. Sufficient motor skills to operate vehicles and equipment safely, such as but not, limited to golf carts and pull wagons. Must possess a valid Florida drivers license and have a satifactory driving record. Must have the ability to work a flexible schedule. Ability to work outdoors in various weather conditions, depending on event needs.
