None Job Summary:
Harry Chapin Food Bank seeks an organized, creative, and relationship-focused Events & Stewardship Manager to join the Development Department. The Events & Stewardship Manager will be responsible for planning and executing donor and fundraising events while developing and implementing stewardship strategies that strengthen relationships with donors and supporters throughout our five-county service area. Working closely with and reporting to the Director of Development, this position will play a key role in creating meaningful experiences that engage, recognize, and retain Harry Chapin Food Bank's supporters. The Events & Stewardship Manager will oversee the planning, coordination, and execution of Development events and donor engagement opportunities, working collaboratively with staff, volunteers, vendors, sponsors, Board members, and community partners. The position will also develop, and coordinate donor stewardship initiatives, recognition efforts, communications, and personalized touchpoints designed to demonstrate the impact of donor support and encourage continued engagement and giving. The Events & Stewardship Manager must be highly organized, proactive, and able to manage multiple projects and deadlines while passionately communicating the mission, impact, and importance of Harry Chapin Food Bank's work.
Essential Duties and Responsibilities:
Event Planning and Management Plan, develop, coordinate, and execute Harry Chapin Food Bank fundraising, donor cultivation, recognition, stewardship, and engagement events from concept through completion. Develop and maintain comprehensive event plans, timelines, budgets, vendor relationships, logistics, guest lists, sponsorship deliverables, volunteer requirements, communications, and post-event follow-up. Exercise independent judgment in evaluating event needs, identifying solutions, resolving logistical issues, and making recommendations regarding event planning and execution. Coordinate with Development staff, Board members, volunteers, sponsors, vendors, community partners, and other stakeholders to ensure successful, professional, and mission-aligned events. Manage event invitations, registrations, RSVPs, guest communications, materials, donor experiences, event-day logistics, and follow-up activities. Monitor event budgets and expenses and communicate significant variances or concerns to the Director of Development. Evaluate event outcomes and recommend improvements to increase engagement, effectiveness, and return on organizational resources. Donor Stewardship and Engagement Develop and implement an annual donor stewardship plan that incorporates personalized communications, recognition opportunities, impact updates, events, and other meaningful donor touchpoints. Coordinate donor recognition and benefits, including naming opportunities, plaques, donor walls, event recognition, sponsorship recognition, giving society recognition, and other organizational recognition programs. Work closely with Major Gift Officers and the Mid-Level & Corporate Gift Officer to support individualized stewardship and cultivation strategies for key donors and prospects. Develop and coordinate donor communications and stewardship materials, including thank-you communications, impact updates, invitations, event communications, recognition materials, and other donor-facing communications. Support the Development team in creating meaningful donor experiences that demonstrate the impact of philanthropic support and strengthen long-term donor relationships. Track and fulfill event sponsorship and donor recognition commitments, ensuring benefits are delivered accurately, professionally, and on schedule. Identify opportunities to strengthen donor engagement, recognition, retention, and overall donor experience. Data, Systems, and Reporting Maintain accurate and timely events, donor stewardship, sponsorship, and recognition records in Raiser's Edge and other Development systems. Ensure donor and event information is handled confidentially and in accordance with organizational policies and applicable requirements. Monitor donor engagement, stewardship activities, event results, and related performance measures. Prepare reports, analyses, and recommendations for the Director of Development and Development team regarding event performance, stewardship activities, donor engagement, and opportunities for improvement. Use available data and feedback to evaluate the effectiveness of events and stewardship initiatives and recommend appropriate adjustments. Collaboration and Organizational Support Participate in Development Department initiatives, fundraising campaigns, community events, and special projects as appropriate. Collaborate with other departments to ensure consistent, professional, and meaningful experiences for donors, volunteers, sponsors, Board members, and community partners. Represent Harry Chapin Food Bank professionally and positively in interactions with donors, prospects, volunteers, vendors, sponsors, Board members, community partners, and the general public. Contribute ideas and recommendations that support the Development Department's goals and Harry Chapin Food Bank's overall mission. Perform other related duties and responsibilities as assigned.

Specific to
Position:
Bachelor's degree in event management, nonprofit management, marketing, communications, hospitality, business, or a related field preferred. Three to five years of progressively responsible experience in event planning, donor relations, stewardship, fundraising, hospitality, nonprofit development, project management, or a related field. Demonstrated experience planning and executing events, programs, projects, or initiatives from concept through completion. Demonstrated knowledge of donor stewardship, cultivation, recognition, and engagement strategies. Understanding of moves management principles and the ability to support strategic donor engagement and cultivation plans. Strong project management and organizational skills, including the ability to establish priorities, manage competing deadlines, and independently move projects forward. Demonstrated ability to exercise sound judgment and make recommendations regarding event planning, donor engagement, vendor coordination, budgets, logistics, and related matters. Experience with fundraising, donor management, event management, or related software; Qgiv and Raiser's Edge experience preferred. Highly self-motivated and proactive, with the ability to identify opportunities, anticipate needs, resolve issues, and move projects forward with appropriate direction and oversight. Excellent interpersonal skills and professional judgment, with the ability to establish and maintain effective relationships with donors, prospects, Board members, volunteers, vendors, sponsors, community partners, and colleagues. Excellent written and verbal communication skills, with the ability to communicate effectively and professionally with a variety of audiences. Demonstrated ability to coordinate event logistics, vendors, volunteers, budgets, timelines, communications, and related resources. Demonstrated ability to analyze event and stewardship results and develop recommendations for improving future engagement and fundraising efforts. Valid Florida driver's license if required for organizational business or position-related travel. Physical and Working Requirements The position is primarily performed in an office and event environment and requires the ability to perform the essential functions of the position with or without reasonable accommodation. The position may require occasional attendance at events outside normal business hours, including evenings and weekends, particularly during peak fundraising and holiday periods. Event responsibilities may occasionally require standing, walking, and assisting with the movement or placement of event materials and supplies. Any physical requirements must be performed in accordance with the essential functions of the position and may be performed with reasonable accommodation where appropriate. The position may involve periods of increased workload and competing priorities during peak fundraising seasons and major events. Work Schedule This is a full-time position. The regular work schedule is generally during normal business hours; however, the position requires flexibility to attend and support occasional evening and weekend events, meetings, and activities based on organizational needs.
Pay:
$55,000.00 - $61,000.00 per year
