Our mission is to provide compassionate care, advocacy, and support for animals while educating the community about responsible pet ownership and animal welfare.
POSITION SUMMARY
The Event Manager is responsible for planning, coordinating, executing, and evaluating the Company's events. The Event Manager will manage events from concept through completion, including developing timelines and budgets, coordinating vendors and partners, managing event logistics, supporting sponsorship efforts, overseeing event communications and materials, coordinating volunteers and committees, and measuring event success. The ideal candidate is highly organized, creative, proactive, personable, and comfortable managing multiple projects simultaneously. This individual should be able to work independently while collaborating closely with leadership, Marketing & Communications, Development, Animal Care, Volunteers, and other departments. The Event Manager will also represent the Company at community events and serve as a professional and enthusiastic ambassador for the organization and its mission.
DUTIES & RESPONSIBILITIES
Event Planning & Management Plan, coordinate, and execute the Company's fundraising, adoption, community, donor, and special events from concept through completion. Develop event timelines, budgets, checklists, and production plans, and coordinate all logistics including venues, vendors, catering, rentals, entertainment, décor, registration, signage, and supplies. Serve as the primary point of contact for vendors, sponsors, venues, partners, and event committees. Attend and oversee the Company's events, ensuring they are executed professionally, on budget, and in alignment with the Company's mission and standards. Work with leadership to develop new and innovative events and community engagement opportunities. Event Systems & Administration Manage event registration, ticketing, websites, event pages, Formstack forms, and related digital platforms, including Arreva and Eventbrite. Maintain accurate event records, guest lists, registrations, contracts, and other event documentation. Monitor event registrations, ticket sales, and participation. Sponsorship & Partnerships Assist with developing sponsorship opportunities and securing sponsors, vendors, community partners, and in-kind support. Maintain sponsor relationships and ensure all sponsorship benefits and commitments are fulfilled. Serve as a professional point of contact for sponsors and partners before, during, and after events. Marketing & Promotion Coordinate with Marketing & Communications to promote events across multiple channels. Coordinate event signage, invitations, promotional materials, and other event collateral. Ensure event communications and materials are accurate and brand aligned. Approve event-related promotional materials provided by outside partners and vendors. Committees & Volunteers Serve as the staff liaison to event committees and coordinate planning, communication, and follow-up. Coordinate with the Volunteer Coordinator to manage events and outreach volunteers. Provide direction and support to staff, volunteers, and committee members during events. Fundraising & Budget Management Support event fundraising efforts including sponsorships, ticket sales, auctions, raffles, Fund-A-Need, and other revenue-generating opportunities. Develop and monitor event budgets, obtain vendor quotes, track expenses, and ensure events remain within approved budgets. Work with Development and leadership to set fundraising goals and increase event revenue. Assist with financial reconciliation and post-event reporting. Event Evaluation & Follow-Up Track event attendance, revenue, expenses, sponsorships, and other key performance indicators. Evaluate event results and provide recommendations for future events. Coordinate post-event follow-up, including sponsor, vendor, volunteer, committee, and partner communications and acknowledgments. Maintain organized event files and records for future planning. Perform other duties as assigned by supervisory personnel.
QUALIFICATIONS
Associate or Bachelor's degree in Event Management, Marketing, Communications, Public Relations, Hospitality, Nonprofit Management, or a related field preferred; equivalent professional experience considered. 2-4 years of experience in event planning, nonprofit events, hospitality, marketing, community engagement, or a related field. Demonstrated experience planning and executing events, including managing budgets, vendors, timelines, volunteers, sponsors, and multiple projects. Understanding of fundraising, sponsorship development, donor engagement, and event revenue generation. Strong organizational, project management, and time-management skills with excellent attention to detail. Ability to work independently and collaboratively, take initiative, solve problems, and manage multiple priorities and deadlines in a fast-paced environment. Excellent written, verbal, interpersonal, and customer service skills, with the ability to communicate professionally with diverse audiences. Strong relationship-building skills with donors, sponsors, vendors, volunteers, community partners, staff, leadership, and the public. Ability to develop creative, engaging, mission-driven events that increase awareness, participation, fundraising, and community support. Proficiency with Microsoft Office and familiarity with event registration, email marketing, website content management, social media, and digital marketing tools. Experience with Arreva, Eventbrite, WordPress, Mailchimp, Canva, Adobe Creative Suite, or similar platforms preferred. Nonprofit or fundraising event experience preferred. Bilingual skills, including English/Spanish, a plus. Ability to work evenings, weekends, and occasional holidays as required by the event schedule. Valid driver's license and reliable transportation may be required for off-site events and community outreach. Comfortable working around animals and in a shelter environment. PHYSICAL DEMANDS
Lifting and carrying over 25-30 pounds. Walking, standing, sitting for prolonged periods depending on the task. Frequent reaching, bending, kneeling, squatting, and stooping to care for animals and clean areas. Ability to work outdoors in varying weather conditions. Ability to work in environments that may involve handling animals, dealing with various animal medical conditions, and exposure to animal-related loud noises and hazards.
