Job Information Job Summary:
The Temporary Events Associate provides administrative and programmatic support to the Chicago Booth Office of Advancement Events Team. This position is expected to last six months.
Responsibilities:
Assist the Office of Advancement Events Team with short-term, long-term, and ad hoc projects. Support in-person, virtual, and hybrid events. Learn the online event registration system, Cvent. Assist in organizing event planning meetings including reserving space, updating and distributing meeting agendas, notes, and other materials. Support event logistics including ordering, packing, and shipping event supplies and printing materials such as nametags, briefings, and registration lists. Provide onsite assistance at events, as requested. Utilize Phoenix, the alumni database of record, to look up, track, and report on event related data. Create basic event briefings and event-related communications. Support the Events Team with invoices and vendor payments, expenses, and budget tracking. Provide pre-event in-office support. Other administrative duties as required.
Competencies:
Outstanding verbal and written communications with an attention to grammar and spelling, and presentation skills. Excellent time management, organizational skills, attention to detail, basic math, and finance skills. Work independently, possess personal accountability, and a self-motivated disposition. Handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions. Professional demeanor, including tact, discretion, and a customer service-oriented approach.
Additional Responsibilities Education, Experience, or Certifications:
Education:
Bachelor's degree required.
Experience:
A minimum of one year of event support and coordination experience preferred.
Technical Knowledge or Skills:
High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required. Proficiency working with event registration platform Cvent preferred. Familiarity with Salesforce preferred.
Working Conditions and Physical Requirements:
This position is currently expected to work a minimum three days per week in the office. Some evening and weekend hours may be required, with advance notice.
