Job Description
Position Summary North Vernon Main Street is seeking an organized, dependable, and community-minded Office and Events Coordinator to provide administrative, event, and organizational support to the Executive Director and North Vernon Main Street. The Office and Events Coordinator plays an important role in turning organization priorities into action by coordinating administrative tasks, event logistics, communications, records, and other day-to-day responsibilities. The Executive Director maintains responsibility for organizational leadership, strategic direction, program oversight, economic development initiatives, partnerships, fundraising, grants, and higher-level decision-making. Core Area of Ownership 1. Office Administration & Organization Own routine office organization and help maintain efficient administrative systems. Respond to general phone, email, and in-person inquiries and route questions appropriately. Maintain organizational calendars, schedules, meeting logistics, and recurring deadlines. Maintain digital and physical files, contact lists, databases, photographs, and records. Complete routine data entry, tracking and administrative follow-up. Maintain office and program supplies and coordinate purchasing as directed. 2. Event Coordination Assist with work plans, timelines, checklists, and logistical follow-through for assigned North Vernon Main Street events. Coordinate vendors, permits, equipment, supplies, registrations, and other operational event needs. Serve as a primary logistical contact for vendors, participants lists, and related documentation. Coordinate setup, day-of operations, and cleanup in partnership with staff, board and volunteers. Track participation and assist with post-event follow-up, documentation, and evaluation. Identify logistical concerns early and bring decisions, budget questions, or significant changes to the Executive Director. 3. Routine Communications Assist with coordination of event promotion and scheduled communications. Assist with newsletters, email communications, flyers, and basic promotional materials. Collect and organize photographs and content from programs and events. Distribute routine information to businesses, volunteers, and participants, and community partners. 4. Volunteer, Committee, & Program Logistics Coordinate volunteer sign-ups, schedules, reminders, materials, and logistical communication. Assist with committee and program meeting logistics, material, and follow-up. Assist with tracking assigned deadlines and action items and help keep projects moving forward. Provide logistical support for workshops, public meetings, business meetings and community activities. Support special projects and organizational initiatives as assigned by the Executive Director. Qualifications Strong organizational and time-management skills. Excellent follow-through and attention to detail. Strong written and verbal communication skills. Ability to manage multiple tasks, deadlines, and projects simultaneously. Ability to work independently within priorities established by the Executive Director. Comfortable communicating with businesses, vendors, volunteers, and members of the public. Proficiency with google workspace and/or Microsoft Office. Willingness to learn new software and organizational systems. Ability to work occasional evenings and weekends for events and meeting
Pay:
$18.00 - $24.00 per hour Expected hours: 20.0 - 28.0 per weekBenefits:
