BASE PLUS COMMISSION JOB SUMMARY
We are seeking an energetic, detail-oriented Event Coordinator to join our events team. In this hands-on role, you will assist in the planning, coordinaton, and day-of execution of social celebrations-including weddings, bridal and baby showers, milestone parties, and high-end corporate dinners. This is an excellent opportunity for an hospitality professional looking for a career in social event management. We have multiple event spaces that range from 40 guests to 250 guests, proud of our strong culinary and hospitality team and are located on Indiana's first certified organic dairy farm!
KEY RESPONSIBLITES
1. Client Communication and Planning Support
- Serve as a point of contact for clients, assisting with timelines, seating charts, design details for wedding and private showers
- Maintain organized event files, tracking client preferences, guest counts and special dietary requests
- Attend client tasting sessions, walkthroughs and design consultations to document instructions and updates. 2. Vendor & Logistics Coordination
- Work with third-party vendors to confirm arrival times and logistics when applicable
- Review contracts and banquet event orders (BEOs) for accuracy against client selections, working directly with our in-house Executive Chef and Beverage Director
- Track inventory of event decor, linens, place cards and any other special decor 3. Day-of Setup and On-Site Support
- Assist with physical event setup, including table placement, linen staging, place settings, welcome signs
- Coordinate ceremony processional timing for weddings and keep event itineraries running smoothly
- Direct vendor load-in, setup, and end-of- night teardown to ensure venues are left in pristine condition 4. Financial & Administrative Support
- Process deposits, issue client invoices, track payment milestone and menu selections through our Honeybook system
- Prepare event schedule, vendor contact sheets, floor plans prior to each event
QUALIFICATIONS & REQUIREMENTS
- Experience 1-3 years of experience in hospitality, catering, wedding planning, or private event coordination.
- Education Bachelors degree in hospitality Management, Event Management, or Communications is a plus
Technical Skills:
- Familiarity with event planning software (HoneyBook) is preferred
Availability:
Must have open availability on weekends and evenings, as social events and weddings heavily skew toward weekends.
