Position Summary:
Maintain office operations and help increase sales by receiving and distributing communications via social media, email, mail, telephone, and personal contact. Assist with weddings and events administration, develop promotional materials, and schedule and process rooms for weddings, meetings, and conferences. Produce and design content for departmental events.
Essential Functions:
Communicate clearly with weddings and events clients, data entry, processing, upkeep, produce, and update social media, schedule and process rooms for use, develop promotional material for Events at Asbury Seminary, set-up for wedding receptions/ceremonies. Other administration projects as needed.
Other Responsibilities:
Digital filing, organizing, giving tours, keeping good records, forwarding information as needed, copying, and helping with receipt, distribution, and tracking of money.
Financial Responsibility/Authority:
Create quotes, contracts, and confirmations for weddings and events clients. Create and manage client invoices and input financial transactions in departmental management software.
Qualifications Tools & Equipment:
Multi-line phone system, strong typing skills, Google Suite, Microsoft Office, Facebook, Pinterest, Instagram, Canva, Trello, Event Management Software (with training), True Client Pro (with training). Knowledge of departmental audio and video equipment (with training). Photography familiarity/experience is a plus.
Education/Certification/Training/Experience:
An undergraduate degree is preferred, but not required, with at least 1 year experience in administrative roles. Strong eye for aesthetics, ability to navigate social media, strong verbal and written communication, dependable, punctual, and ability to multi-task and switch quickly from one task to another. Must be able to cart supplies to various buildings on campus. Must be able to lift 40 lbs. Strong and consistent organizational skills and time management are a must. The ability to work and think independently is necessary.
