Job Description

Overview We are seeking a dynamic and detail-oriented Events Coordinator to join our team. The Functional Events Coordinator is a part-time leadership role responsible for the supervision, execution, and evaluation of events. This position acts as point of contact during events, supervises part-time event staff, and communicates necessary information. The Coordinator ensures all events meet operational and safety standards, align with client expectations, and contribute to the financial sustainability of the facility. Responsibilities Serve as the primary point of contact for assigned events and ensure timely and professional communication with clients, responding to inquiries within established departmental service standards. Maintain effective working relationships with clients by demonstrating professionalism, responsiveness, and adherence to customer service expectations as reflected in post-event feedback and supervisor review. Conduct scheduled client check-ins at key event milestones to confirm requirements, communicate updates, and document relevant information in accordance with departmental procedures. Oversee event setup, execution, and breakdown to ensure activities are conducted safely, efficiently, and in compliance with facility policies, operational standards, and applicable regulations. Confirm that event spaces, equipment, and staffing arrangements are prepared prior to event start times in accordance with approved event plans. Monitor events in progress and promptly address operational issues, guest concerns, or safety matters, escalating issues as necessary and documenting incidents in accordance with established protocols. Coordinate and ensure fulfillment of approved special requests and required accommodation in compliance with accessibility standards, departmental guidelines, and applicable laws. Serve as the on-site representative for the facility during assigned events, providing guidance to guests and Event Staff and ensuring a professional and service-oriented environment. Collect and document post-event feedback to support evaluation of services, continuous improvement efforts, and departmental reporting requirements. Ensure completion of all post-event responsibilities, including cleanup, equipment return, and facility reset, within designated timeframes and in accordance with established checklists and procedures Requirements Bachelor's Degree (Preferred): In fields like Hospitality Management, Event Management, Public Relations, Marketing, or Business Administration OR An Associate Degree or specialized certifications (e.g., Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP)) can also be sufficient. High School Diploma or equivalent required At least 1 year experience in event management preferred Possess and maintain a clear criminal and driving record. Must be capable of obtaining and maintaining certification in CPR, First Aide, and perform if necessary. At least 21 years of age Current Drivers License Satifactory MVR Ability to stand, walk, and move for extended periods of time Ability to lift, carry, and move items up to 25 pounds, such as game equipment, supplies, and materials. Must be able to bend, stoop, kneel, and crouch to perform tasks like setting up equipment or cleaning. Ability to work in varying weather conditions, including heat, cold, and rain. Good manual dexterity and hand-eye coordination to handle tools and equipment.
