Events Coordinator

Job Summary The Events Coordinator provides critical operational, logistical, and creative support to the Marketing Manager in driving company culture, employee retention, and customer advocacy. Positioned at the intersection of internal communications, customer loyalty, and field marketing, this role supports the execution of high-impact engagement programs for both internal team members and external clients. Working closely under the direction of the Manager, the Events Coordinator ensures smooth day-to-day event operations, maintains high-quality execution across all corporate functions, and helps build a cohesive brand experience that strengthens team alignment and client loyalty.

Key Responsibilities:
  • Corporate Events & Employee Engagement Support
Culture & Event Execution:

Assist the Manager in planning and executing company-wide internal initiatives, including quarterly all-hands meetings, leadership retreats, team-building activations, and recognition programs.

    On-Site & Field Logistics:

    Coordinate day-to-day logistics for office and field events, including venue sourcing research, catering arrangements, room setups, AV coordination, and on-site event execution.

      Charity Committee Support:

      Support the execution of corporate volunteer days, charity partnerships, and employee-led community outreach projects under the guidance of department leadership.

      • Customer Engagement & Field Logistics Support
      Client Experience Events:

      Support the planning & coordination of high-touch customer events and giveaways

        Trade Show & Conference Coordination:

        Manage technical logistics for industry trade shows and sponsored events

        • Assist in developing and managing marketing campaigns
        • Build and maintain assets and campaigns within Hubspot
        • Ongoing evaluation of the success of the campaigns
        Operational Administration/Project Management :
          Budget Tracking & Vendor Coordination:

          Support the manager in tracking project budgets, processing invoices, organizing vendor proposals, and maintaining expense logs

            Calendar & Program Management:

            Maintain the master corporate events calendar, coordinate cross-departmental schedules, and ensure timelines stay on track

            Required Skills and Experience:
            • Bachelor's degree in Marketing, Communications, or related field
            • 2-4 years of experience in event planning, field marketing coordination, corporate communications, or employee engagement support
            • Experience in the construction or services industry is highly desirable
            • Strong ability to work in a direct support capacity to an Event Manager, managing concurrent operational tasks while taking direction and initiative
            • Proven track record of managing event details, multi-vendor timelines, and on-site logistics under tight timelines
            • Excellent written and verbal communication skills with a professional demeanor when interacting with executives, employees, and clients
            • Experience researching vendors, reviewing contract line items, and tracking project expenses ($50k-$300k+)
            • Strong organizational and time management skills
            • Detail and deadline oriented with a proactive approach to all projects

            • Highly efficient with Microsoft Office - Word, Excel, PowerPoint, Outlook
            • Some understanding of Marketing CRM's and platforms (Hubspot, Constant Contact, etc.) preferred
            • Highly organized and capable of managing multiple projects and deadlines simultaneously
