Job Description

We are seeking a dynamic, multi-talented Individual focused in areas as Event Coordinator, Catering Sales & VA Manager to lead both our physical event bookings and our remote operations. Primary point of contact and ultimate decision-maker for all our private bookings, large-scale catering orders, and food truck events, while simultaneously acting as the direct team leader for our Virtual Assistant (VA) staff. You will bridge the gap between our physical operations in Maryland and our remote team—ensuring flawless event execution, lead generation, and streamlined workflow management. Full training is provided!
Key Responsibilities Event Coordination & Catering Sales Customer Point of Contact:
Serve as the primary and professional representative of the brand for all event inquiries, communicating with customers and clients via phone and guiding them smoothly from initial contact through the day of the event.
Lead Generation:
Proactively identify and secure new business opportunities, including corporate partnerships, private events, community events, and bookings for food truck and catering services.
Detail Management:
Ensure all logistical details—including event contracts, payments, timelines, special instructions, dietary restrictions, catering or group order pull sheets, and food truck locations—are accurately completed, documented, and organized.
Event Execution:
Oversee the coordination of food truck deployments and catering setups to ensure seamless and successful on-site execution. Virtual Assistant (VA)
Team Management Team Leadership & Operations:
Serve as the direct supervisor and coach for our VA staff; build/update Standard Operating Procedures (SOPs) and create and manage projects, enforce proper use of Odoo for client tracking purposes Evaluate and implement: Actively evaluate and implement new software, tools, ideas, process improvements, and technical skills to continuously enhance productivity, efficiency, and overall operational performance within the operations.
Quality Assurance & Delivery:
Act as the final gatekeeper, spot-checking VA deliverables (data entry, graphics, transcripts) to ensure they are 100% correct before final use.
Daily Tracking & Strategy:
Host daily brief huddles to review priorities, track team efficiency (KPIs), audit software access, and look for workflow automations. Qualifications Proven experience in event planning, catering sales such as restaurant or food truck management. Strong negotiation skills with the ability to upsell services confidently while maintaining positive client relationships. Knowledge of event marketing strategies to attract new clients and promote upcoming events effectively. Excellent organizational skills with the ability to manage multiple events concurrently under tight deadlines. A self-starter attitude with a drive to chase leads and close sales. Exceptional customer service skills with a friendly yet professional demeanor. Experience in budgeting, contracts management, operations, and logistics.
