Director of Sales/Marketing Position Summary:
The Event Meetings Manager is responsible for managing group and catering business from the turnover process through event departure. This role serves as the client's primary point of contact for event planning, detailing, and on-site execution while coordinating closely with hotel departments to ensure successful event delivery and client satisfaction. Key Responsibilities Client & Event Management Manage client relationships following contract execution through event completion. Serve as the primary contact for all group and catering event planning needs. Conduct pre-convention (Pre-Con) and post-convention meetings with clients and hotel teams. Conduct site inspections and planning meetings as needed. Maintain regular communication with clients to ensure all event requirements are met. Event Planning & Detailing Create and maintain detailed Banquet Event Orders (BEOs). Develop room diagrams and event setup specifications. Prepare, review, and distribute group resumes. Ensure all event details are accurately documented and communicated to hotel departments. Manage group room blocks and catering events from turnover through departure. Operations & Execution Lead BEO and Group Resume meetings in the absence of the Convention Services Manager. Be visible and accessible throughout events to support clients and hotel operations. Ensure seamless event execution by partnering with Banquets, Front Office, Housekeeping, Engineering, and other departments. Resolve client concerns and service issues promptly and professionally. Monitor event progress and proactively address operational challenges. Administrative Responsibilities Ensure rooming lists are received prior to cutoff dates. Work closely with Finance to ensure all deposits and payments are posted accurately to group master accounts. Maintain organized event files and create file folders for all contracts and supporting documentation. Ensure all event documentation is complete, accurate, and compliant with hotel standards. Qualifications Preferred Experience Minimum 2 years of hotel event management, convention services, catering, or hospitality experience. Experience detailing meetings, conferences, social events, and group room blocks. Knowledge of Hilton systems, Delphi, OnQ, or similar hotel sales and catering platforms preferred. Experience creating BEOs, room diagrams, and group resumes. Skills & Competencies Exceptional organizational and time management skills. Strong verbal and written communication skills. Ability to multitask and manage multiple events simultaneously. Strong attention to detail and follow-through. Customer-focused with excellent problem-solving abilities. Ability to work collaboratively with multiple hotel departments. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
