This individual will assist with client communications, coordinate event logistics, and ensure smooth operations from planning through to post-event follow-up. Additionally, they will handle general sales office duties, supporting the team in achieving sales targets and providing exceptional service to prospective and current clients.
Job Responsibilities Event Planning and Organization:
Assist the Hotel Sales Manager in developing event plans and schedules based on client requirements, and maintain detailed records of event details, timelines, and guest lists. Manage event logistics, including liaising with vendors, organizing decorations, arranging audio-visual equipment, and overseeing room setups.
Client Communication and Relationship Management:
Serve as a point of contact for clients from initial inquiry to post-event follow-up, ensuring exceptional customer service and timely responses. Attend site visits, meetings, and tastings as needed to assist in addressing client needs and preferences.
Onsite Event Support:
Assist with supervising event setups and takedowns, coordinating with the banquet team, and address any last-minute changes or issues that arise during events. Assist as a liaison between clients and hotel staff to ensure all event details are executed as planned.
Post-Event Follow-Up:
Gather client feedback, prepare post-event reports, and identify areas for improvement to enhance future events. Assist with invoicing, payments, and closing procedures for completed events.
Additional Requirements Sales & Administrative Assistance:
Provide administrative support to the Sales team, including scheduling client appointments, preparing sales materials, and managing client files and contracts. Assist with lead management, tracking inquiries, and maintaining the client database.
Sales Communication and Follow-Up:
Communicate with prospective clients via phone, email, and in-person, providing information about the hotel's event services, packages, and availability. Help prepare proposals and follow up on inquiries to convert leads into confirmed bookings.
Marketing Support:
Assist in promoting the hotel's event offerings, working with the sales team to update social media, distribute promotional materials, and create content that highlights past events and hotel capabilities. •
Reporting and Data Management:
Support the team by compiling reports on event bookings, revenue, and client feedback for review by the Hotel Sales Manager and Sales Director. Maintain accurate event records, client files, and other essential data for reporting and client service purposes. Front Desk/Property Management Support Understand and develop hotel property management system Be able to check-in and check-out guests to the hotels brand standard Understand overall hotel operations and have the ability to resolve guest issues as needed
Qualifications & Skills Education:
Associate's or Bachelor's degree in Hospitality Management, Event Planning, Business Administration, or a related field preferred.
Experience:
At least 1-2 years of experience in event planning, hotel operations, or sales support is desirable.
Computer Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with event management software or CRM platforms is preferred.
Interpersonal Skills:
Strong communication and relationship-building skills, with a client-focused approach to service.
Organization and Time Management:
Ability to multitask and manage time effectively, especially during peak event seasons.
Adaptability:
Comfortable working in a fast-paced environment, capable of handling last-minute changes and challenges with a positive attitude. Attention to
