Job Description

We are looking for an Event Coordinator to support the planning and delivery of corporate, community, nonprofit, and private events in St. Louis. You will work with clients, venues, suppliers, and internal teams throughout the event process. The role is hands-on and includes scheduling, vendor coordination, event materials, on-site support, and follow-up after each event. What You'll Handle Coordinate event schedules, timelines, logistics, and day-to-day planning activities. Work with venues, caterers, audiovisual providers, suppliers, and other event partners. Gather event requirements from clients and keep them informed of progress and changes. Maintain event schedules, contact lists, run sheets, and other planning documents. Coordinate event setup, registration, on-site activities, and breakdown. Check that vendors and event services are delivered as agreed. Track event-related expenses and maintain supporting records. Help resolve problems during events and communicate issues to the appropriate team member. Support post-event reporting and collect feedback from clients and attendees. Maintain accurate event information and update plans when requirements change. Assist with planning meetings, product launches, conferences, fundraisers, and other events. Contribute practical ideas that improve event processes and the attendee experience. What You'll Bring Previous experience coordinating events, meetings, projects, or similar activities. Experience working with vendors, suppliers, venues, or service providers. Strong organisation and time-management skills. Good written and verbal communication. Comfortable speaking directly with clients and resolving routine issues. Ability to manage several tasks and deadlines at the same time. Familiarity with event planning or project management software. Comfortable working on-site during events, including setup and guest registration. Good attention to detail and a practical approach when plans change. Experience with event budgets or expense tracking is helpful. Familiarity with St. Louis venues and local suppliers is beneficial. Experience with virtual or hybrid events is an advantage. Authorization to work in the United States. The Work Schedule Event work can require flexibility around event dates. Some early starts, evenings, or weekends may be necessary depending on the event calendar. Pay:
$50,000.00 - $53,500.00 per year
