This position is ideal for someone passionate about event planning who thrives in a dynamic environment. The Event Coordinator will work closely with the Event Managers, partnering in the planning and execution of events to ensure all logistics are in place and operations run smoothly. We are seeking a creative and detail-oriented Event Coordinator to support and manage event strategy, planning, and execution. Key Responsibilities Planning & Coordination Support Manage the creation of timelines, schedules, and budgets for events Coordinate with vendors, suppliers, and venue staff to ensure all event requirements are met Maintain accurate and organized event documentation, including contracts, orders, and invoices Support and manage event planning from start to finish by handling specific tasks, such as ordering supplies, confirming deliveries, and overseeing venue setup Provide updates to Event Managers regarding event progress and report on any challenges On-Site Event Support Assist with the physical setup, breakdown, and logistics of events, ensuring everything is in place for a smooth execution Handle logistical challenges during the event by troubleshooting issues as they arise Communicate with vendors and team members during the event to ensure everything runs on schedule Ensure that all details meet client expectations and resolve any issues that may occur during the event Client & Team Communication Communicate regularly with clients to ensure their needs and requirements are met throughout the planning process Assist with leading client communication during events, ensuring that everything is aligned with their expectations Maintain positive relationships with internal teams and vendors to facilitate efficient event execution Qualifications & Skills 1 year of experience in event planning or hospitality, or related internship experience Strong organizational and time management skills with the ability to handle multiple tasks simultaneously Detail-oriented with problem-solving abilities and a proactive approach to tasks Excellent communication and interpersonal skills, with a customer-focused attitude Calm and effective under pressure, able to work long hours on event days A resourceful and flexible team player who can adapt to changing priorities Ability to stay organized in a fast-paced environment and deliver on deadlines Proficient in Microsoft Office and event planning software (experience with planning tools like Asana, Monday.com, or similar is a plus) Capable of lifting up to 40 pounds and standing for extended periods during events Must have access to a reliable vehicle, laptop, and smartphone Weekend and evening availability required based on event schedule Preferred Qualifications Bachelor's degree in Event Management, Marketing, Hospitality Management, or a related field. Eagerness to grow within the event planning field and a strong desire to learn Tech-savvy; fast learner on new technologies, applications and systems Updated August 2026 Salary $18 - $20 per hour
