Job Description
Blue Ridge Mountain Club POA is managed by CAMS, a community association management company. Blue Ridge Mountain Club POA is seeking a self-motivated, enthusiastic, responsible person to provide exemplary service to members and represent the BRMC community at large. Core responsibilities include promptly answering and managing inquiries via email, phone, or online platforms, resolving and troubleshooting account and general inquiries related to member accounts, managing external inquiries as relates to general information related to the club, assisting in maintaining informational content on various communication platforms, assisting in planning member focused events. Responsibilities
- Complete New Owner Welcome Process for every new buyer
- Set up access PINS for amenity centers, coordinating with Gate Team to ensure smooth transition into the community
- Communicate with new members through a series of emails regarding Operations, account set up, and other items as necessary
- Set up new members with portal access, answering any additional questions and providing tutorials when necessary
- Schedule and hold new member orientation
- Maintain records of current and new homeowners
- Coordinate input and removal of homeowner information whenever a property is sold
- Manage all incoming member internal, and external customer service-related calls, emails, and inquiries; expedite serious issues to the Director of Hospitality
- Respond to service requests, amenity requests, and general questions in management software within 24-48 hours
- Respond to email requests via the Member Services inbox within 24-48 business hours.
- Follow up with open and active inquiries to work towards positive resolutions
- Assist in maintaining member accounts and utility accounts in management software, and effectively utilizing management software to provide support and resolve client service issues
- Provide support services to members and guests as relates to member service needs
- Meet with members to go over account questions, portal tutorials, general information about the community or association business
- Assist with developing member focused community events
- Coordinate preparing of banquet event orders (BEOs) for each event
- Coordinate and schedule vendors, entertainment, equipment rentals for each event
- Design and develop promotional materials for events
- Draft content and design weekly newsletter
- Design flyers for weekly newsletter and event promotion
- Design menus for special events and dining services
- Maintain the club website Requirements
- High School Diploma, Bachelor's degree or related industry
- 2 - 3 years' experience in client services, sales, or similar role
- Exceptional communication skills and ability to assist with exemplary customer service for internal and external communications
- Diplomatic and tactful, with an ability to calmly and professionally listen to members/guests concerns and to offer positive and compassionate solutions.
- Ability to coordinate with other departments on member services related matters
- Dependable, organized and ability to multi-task
- Ability to collaborate in a team environment
- Excellent computer skills with experience in Microsoft Office, including Word, Excel, Zoom, and Outlook.
- Ability to provide technical assistance and resolve issues for members, guests, vendors, and other inquiries.
- Excellent written and design skills to draft and broadcast communications, design flyers for events, manage the community website, and design menus dining services and special events.
- Ability to prepare banquet event orders (BEO), scheduling vendors for events, and assisting in event management.
- Ability to use Canva, and other desk-top publishing software necessary to effectively advertise, promote, document, and maintain informational content in various communication platforms
- Effectively learn and utilize club management software Schedule This position is full-time, 40 hours per week.
