Job Description

The International Institute of Aesthetic Medicine (IIAM) is dedicated to elevating standards in medical aesthetics through hands-on education, evidence-based curriculum, and real-world application. Our training programs equip healthcare professionals with the skills, confidence, and certification needed to excel in the rapidly growing field of aesthetic medicine. Position Overview We're seeking a highly organized and detail-oriented Event Coordinator to support the seamless execution of IIAM's training programs and events. This role is ideal for someone who thrives in fast-paced environments, enjoys working directly with people, and takes pride in creating a professional, welcoming, and efficient learning experience for our students and instructors. Key Responsibilities Event Preparation Pick up printed materials from local vendors as needed. Place grocery or catering orders (Instacart, UberEats, etc.). Prepare student certificates and injectable starter kits for all participants. Assemble name tags and apply color-coded stickers for easy identification. Complete and print rotation schedules. Set up student workstations in lecture rooms, including folders, pens, and welcome materials. Event Facilitation - Day 1 Set up presentation and AV equipment (laptop, TV connection, music). Arrange food and beverage stations; maintain throughout the day. Prepare the reception area with signage, self check-in, and feedback prompts. Welcome students, instructors, and models upon arrival; provide facility orientation. Support the Course Lead with the daily schedule and rotation management. Manage patient treatment charts, certificate envelopes, and event materials. Oversee model management — check-in, confirm treatment areas, rebook, and manage flow. Manage SalesMSG inbox and respond to patient inquiries during the event. Encourage student feedback completion and Google reviews. Collect name tags, distribute certificates, and tidy event spaces. Organize materials and rotation schedules for Day 2. Event Facilitation - Day 2 Repeat setup for AV, reception, and food/coffee areas. Greet students and instructors, ensuring smooth daily operations. Manage patient treatment charts and assist with model coordination (check-in, payment, rebooking). Manage SalesMSG inbox and respond to patient inquiries during the event. Assist with photography, numbing preparation, and other practical tasks as time allows. Collect feedback surveys, confirm completion, and distribute certificates. Conduct end-of-day cleanup and ensure all IIAM materials and supplies are properly stored. Post-Event Reporting Submit a recap email to the Program Manager outlining: Event summary and outcomes. Any issues, product usage, or inventory updates. Supply needs for the next session. Complete post-event evaluation survey.
