Summary:
The Events Specialist provides operational and administrative support for Membership Development and Community Affairs. The Specialist assists with coordinating event logistics, maintaining promotional inventory and storage areas, and supporting departmental programs and activities. Education and/orExperience:
High School diploma required. Associate's degree preferred. Requires 1 year of general work experience Storage/ supply room experience preferred Valid NYS driver's license required May drive a company vehicle to local branches, partner locations and event sites Possesses a moderate understanding of general aspects of the job Moderate analytical, problem-solving, planning, prioritization, and organizational skills Ability to work independently while supporting team effort Microsoft Excel, Point, and Word competency requiredJob Responsibilities:
Assist with coordinating logistics for lead-generating events, including SmartDesk ticket requests, distribution, delivery, setup, breakdown, and return of promotional materials and activation items Maintain accurate inventory records and storage areas for Membership Development and Community Affairs for all regions. Keeps all storage rooms and storage units clean, organized, and stocked Conduct routine inventory counts, including monthly counts, and report discrepancies or reorder needs to management Receive incoming deliveries, verify order accuracy, and stock inventory; report damages or discrepancies according to established procedures Locate requested inventory items and maintain records of usage Support the implementation and execution of Membership Development and Community Affairs programs, including brand ambassador activities, event processes, event tiers, and new program launches Assist with organizing, scheduling, and booking logistics for events, including pre- and post-event activities Provide support for internal events such as leadership meetings, summits, golf outings, anniversaries, and other internal programs Assist with the administration and execution of strategic partnership programming initiatives Help maintain the Membership Development and Community Affairs calendar as directed Support monthly reporting activities, including Salesforce updates, inventory tracking, and expense reporting Assist with vendor coordination and day-to-day event support, including communication with storage, delivery, and event vendors Collaborate with internal departments to support event needs and follow established processes Assist with meeting rooms, transportation, and related logistics as directed Identify and communicate opportunities for process improvements to management The position works under the direction of management and follows established procedures and guidelines Performs other duties as needed upon request by immediate supervisor . This range is an estimate, based on potential employee qualifications and operational needs. The salary may vary above and below the stated amounts, as permitted by applicable law.
