Job Description

Job Overview We are seeking an energetic and detail-oriented Wedding Coordinator to orchestrate unforgettable wedding experiences from start to finish. In this dynamic role, you will serve as a point of contact for clients, vendors, and venue staff, ensuring every element of the wedding day runs seamlessly. As a Lead Wedding Coordinator, you will have a direct impact on the success of our clients' special days, handling various responsibilities to ensure everything runs smoothly. Work closely with our assistant coordinators in a hands-on role that includes: Duties Collaborate closely with clients to understand their vision, preferences, and budget for their wedding day Coordinate with vendors such as caterers, florists, photographers, and entertainment providers to ensure all services align with client expectations Develop detailed timelines and event schedules to guide the setup, ceremony, reception, and breakdown processes Manage on-site logistics during the wedding day, including overseeing catering arrangements, banquet setup, guest services, and venue operations Maintain clear communication with clients and team members throughout planning stages and on the event day to ensure smooth execution Acting as a calm and reassuring advocate for the couple during their big day, gracefully managing any issues that arise Overseeing the setup for both the ceremony and reception Executing all day-of wedding operations, requiring your presence at the venue from the early morning until tear down in the evening Welcoming and directing all vendors to ensure seamless collaboration Coordinating with vendors regarding their setups and needs Setting up essential elements like seating cards, menu cards, table numbers, favors, guest books, and other decorative items Assisting the wedding party and family members with any inquiries or concerns Arranging for the secure end-of-event management of gifts, guest books, toasting flutes, and other special items Qualifications Proven experience in event planning, hospitality, or banquet management; hotel or restaurant experience is highly desirable Exceptional customer service skills with a friendly yet professional demeanor Superior organizational skills with keen attention to detail and time management abilities Experience in catering coordination or banquet operations is a plus Effective communication skills for liaising between clients, vendors, and team members seamlessly Ability to handle multiple projects simultaneously while maintaining high standards of quality and professionalism Requirements Availability to work weekends is essential A minimum of 2 years of experience as a wedding planner or event planner Strong communication skills and attention to detail are a must Reliable transportation is required Ability to carry and lift items weighing up to 30 lbs
