The events vary throughout the year, from community and promotional events to corporate functions, private bookings and larger public-facing events. Some are planned months ahead; others come together on much tighter timelines. You won't be sitting behind the same desk all week. This role involves time in the office, visits to venues across the city and being there in person when events go live.
BEFORE THE DOORS OPEN A
lot happens before guests ever arrive. You'll help coordinate venues, suppliers, equipment, schedules and event staff, making sure everyone has the information they need ahead of the day.
That can mean:
Confirming venue arrangements and event timings Coordinating caterers, equipment suppliers and other vendors Preparing event schedules and run sheets Keeping guest, booking and attendance information organized Communicating updates to staff and external partners Checking deliveries and setup requirements Helping manage event budgets and supplier invoices Making last-minute adjustments when plans change
WHEN IT'S EVENT DAY
You'll regularly attend events across Dayton and the surrounding area . You'll help oversee setup, check that suppliers arrive when expected, brief staff, answer questions and keep the schedule moving. Things don't always go exactly to plan at live events. A delivery can arrive late, numbers can change or a supplier can need a quick decision. We're looking for someone who stays level-headed and gets on with solving the problem.
THE WEEK
This is a full-time position averaging around 40 hours per week . Your schedule will change depending on the event calendar. Most planning work takes place Monday through Friday during normal business hours, but some evenings and weekends are required when events are running . Where weekend event work is scheduled, hours during the week will be adjusted where possible.
WHO WE'RE LOOKING FOR
Previous experience in events, hospitality, venues, marketing, project coordination or operations would be useful. You don't necessarily need years of event management experience. Strong organization, communication and the ability to manage several moving parts at once are more important. You'll also need to be comfortable traveling between event locations around Dayton and working on-site during live events.

$48,000-$55,000 depending on experience
