CANADIAN COUNTY EXPO & EVENT CENTER
Office & Special Events Coordinator El Reno, Oklahoma | Full time, nonexempt | Reports to Executive Director Proposed annual salary range: $42,000-$46,000 depending on qualifications and experience. Range requires confirmation before publication. Help keep the Expo office organized and our community events on track. We are seeking a detail-oriented professional to provide clerical support to the Executive Director, serve as Board Clerk and coordinate Expo-managed events. What you will do
  • Prepare correspondence, reports and meeting materials; maintain calendars, organized records, deadlines and follow-up items.
  • Serve as Board Clerk, working with each Board's designated Secretary on agendas, packets, notices, draft minutes and records.
  • Coordinate the Free Fair, Junior Livestock Show, Farm and Ranch Show, WB7 BBQ, Community Night Gala and other assigned Expo-managed events.
  • Maintain event timelines and coordinate vendors, exhibitors, sponsors, volunteers, registration, catering and concessions.
  • Update Expo-managed event website information and prepare promotional materials for Executive Director approval.
  • Track approved event budgets with the Director and Finance, support onsite administration and complete event follow-up.
  • Provide nonconfidential payroll and benefits clerical assistance when requested, such as scheduling meetings and distributing blank forms.
What you will bring High school diploma or equivalent and at least three years of progressively responsible experience in clerical or office administration, event coordination, Board support, or a closely related field. Relevant education may substitute for part of the experience. Strong writing, proofreading, customer-service and organizational skills. Proficiency with Microsoft Office, shared calendars, website tools and document or event software; discretion and sound judgment. A valid driver's license and ability to meet Expo driving and insurability requirements are required.
Preferred:
Relevant college education; experience preparing Board materials or minutes, coordinating public or agricultural events, maintaining websites, or using Planning Pod. Schedule and benefits Generally Monday-Friday, with early mornings, evenings, weekends, holidays and extended hours for Board meetings and Expo-managed events. Work includes office, event and outdoor settings, with occasional lifting up to 30 pounds. Reasonable accommodations are available for essential job functions.
