Executive Meeting Manager

Job Description

The Hilton Garden Inn Pittsburgh Southpointe is looking for an Executive Meeting Manager to join their team. We are seeking an organized, detail-oriented, and hospitality-driven Executive Meeting Manager to support the hotel's Sales Managers in the planning, coordination, and execution of meetings, corporate events, and social functions. The Executive Meeting Manager will serve as a key liaison between clients, Sales Managers, hotel operations, banquet teams, and other departments to ensure every event is executed seamlessly and delivers exceptional guest experience. This role is ideal for a hospitality professional who excels at managing details, building client relationships, coordinating multiple priorities, and supporting the hotel's revenue and occupancy goals. Key Responsibilities Support Sales Managers throughout the meeting and event sales process, from initial inquiry through event execution and post-event follow-up. Serve as a primary day-to-day contact for assigned clients once an event is confirmed. Work closely with Sales Managers to understand client needs, expectations, and event objectives. Coordinate meeting details including food and beverage, room setups, audiovisual services, décor, floral, vendors, and other event requirements. Prepare and maintain accurate Banquet Event Orders (BEOs), event resumes, proposals, contracts, and related documentation. Conduct client planning meetings and assist with property tours, menu selections, room setups, and other event-planning needs. Identify opportunities to enhance the client experience and support additional food and beverage and event-related revenue. Assist Sales Managers with client communication, follow-up, proposals, and account development. Build strong relationships with clients to encourage repeat business and long-term partnerships. Collaborate with Sales Managers, Revenue Management, Hotel General Managers, and operations leadership to maximize profitability while maintaining guest satisfaction. Review final event details and ensure all client requirements are communicated accurately to the appropriate hotel departments. Qualifications Minimum of 2 years of meeting, event, catering, or hospitality experience preferred. Previous hotel experience strongly preferred. Experience supporting sales managers or working within a hotel sales or catering department is a plus. Strong understanding of meeting and event planning and execution. Excellent client service and relationship-building skills. Strong organizational skills with exceptional attention to detail. Ability to effectively manage multiple events, clients, and deadlines simultaneously. Strong leadership, communication, and interpersonal skills. Professional presentation and customer service skills. Excellent written communication skills, including grammar, punctuation, and spelling. Intermediate to advanced computer skills. Experience with Delphi or similar hotel sales and catering systems preferred. Proficiency with Microsoft Office and other common business software. Shifts may include nights, weekends or holidays.
