Bella Sera Event Villa is a private wedding and event venue just south of Pittsburgh, established in 2006. We are seeking a reliable, organized, and detail-oriented Wedding & Event Coordinator to play an integral role in the preparation and execution of weddings and special events. This position combines event coordination, staff management, administrative responsibilities, and venue operations to help ensure every event runs smoothly from start to finish. The ideal candidate thrives in a fast-paced, hands-on environment, enjoys working with people, and can manage multiple priorities while maintaining professionalism and attention to detail. This role requires someone who can take initiative, solve problems, communicate confidently with clients and vendors, and step in wherever needed to support the team and create an exceptional guest experience. This is a hands-on, interpersonal role ideal for a hospitality or events professional interested in growing their experience in wedding coordination, event operations, staff management, and guest services.Key Responsibilities:
Administrative & Office Support:
Staffing:
posting job listings, interviewing, hiring, onboarding, staff schedules (servers, bartenders & barbacks, setup, and event managers), emailing staff shift reminders, Gigsmart correspondence, GroupMe correspondence, etc.- Maintaining and tracking employee documents (warnings, RAMP & ServSafe certificates, emergency contacts, etc.)
- Creating, scheduling, and executing seasonal and new hire training sessions in conjunction with Banquet Manager
- Coordinating cleaning schedule
- Assisting marketing coordinator with creating event-day reels/TikToks
- Perform and assist with general office tasks as assigned
Wedding Tasks:
- Day-before coordinating: facilitating decor and cookie drop off, running ceremony rehearsal, creating server duties and table sections, sharing final venue timeline with vendors, reviewing details with wedding consultant, executing any case-by-case event preparations as needed
- Day-of coordinating: opening the building and wedding suite, serving wedding party breakfast & lunch, tending to wedding party needs, overseeing room setup, executing decor setup, managing timeline & guests, running the ceremony, communicating with vendors, leading dinner service, checking in with clients, troubleshooting as needed, etc.
Weekly/Daily Tasks:
- Maintaining basic venue and property readiness such as watering plants, cleaning out vacuum, checking propane tanks, etc.
- Executing post-event follow ups such as decor pickup, requesting and responding to reviews, writing and mailing thank you cards, following up with photographers, etc.
Off-Season Tasks:
- Serving or managing non-wedding events as needed
- Facilitating end of year inventory process in conjunction with Banquet Manager
- General venue upkeep - cleaning votives and lanterns, paint touchups, cleaning chair pads, organizing liquor closet and service hallway, etc.
- Assisting with planning/preparing for annual bridal tasting (tracking RSVPs, stuffing folders, etc.)
- Assisting with planning staff holiday party (sending e-vite and tracking RSVPs)
Required Skills & Qualifications:
- Ability to carry and lift 50 lbs. and stand for up to 12 hours in a day
- Positive attitude and interest in the wedding and events industry
- Strong organizational skills and attention to detail
- Clear and professional written communication skills
- Ability to manage and supervise staff, and work alone or as part of a team
- Ability to work efficiently, manage time well, and complete tasks within expected timeframes
- Ability to prioritize time sensitive tasks and stay flexible
- Working knowledge of social media platforms (Facebook, Instagram, TikTok, Threads)
- Experience with Canva
- Proficiency with Google Suite (Drive, Docs, Sheets, Photos)
- Working knowledge of Microsoft 365 (Word, Excel, Outlook)
- Willingness to utilize AI tools to support administrative tasks
Compensation, Benefits, & Schedule:
- $20-$24/hour, based on experience | Bi-weekly pay
- Paid time off (available after 365 days of full time employment)
- Medical and Dental benefits (eligibility and timing to be discussed)
- Full-time | 40 hours/week in peak season and 32-40 hours/ week in off-season
- Weekends and select holidays
