Job Description
Are you the person who loves making sure every detail is handled, every deadline is tracked, and nothing falls through the cracks? The Washington Society of CPAs (WSCPA) is looking for a Conference Operations Coordinator to own the behind-the-scenes details that make our conferences, education programs, and member events successful. This hybrid role (3 days in the office, 2 from home) is essential in ensuring the seamless execution of WSCPA conferences and events. If you love managing details, building relationships, and seeing events come to life, we want to hear from you! This is a role for someone who genuinely enjoys being organized. You like a good checklist. You follow up without being asked. You notice when something is missing. And when you're managing 30 moving pieces, you get satisfaction from knowing exactly where each one stands. You'll coordinate speakers, agreements, program materials, venues, communications, registration details, budgets, and onsite logistics. You'll work with staff, volunteers, speakers, sponsors, and vendors to keep programs moving from the first planning meeting through final follow-up. This is an operations-heavy role with live events as the payoff. This is a hybrid position with three days per week in our Bellevue office and two days remote to start. How You'll Contribute to Our Team
- Keep conferences on track from start to finish by managing timelines, deadlines, documentation, and follow-up throughout the planning process.
- Coordinate speakers and sessions by managing outreach, agreements, bios, materials, communications, and logistics while working with planning committees to build strong programs.
- Own the event details including venue coordination, contracts, catering, budgets, registration information, continuing education requirements, and the many logistical details that keep programs running smoothly.
- Stay ahead of the moving pieces by maintaining accurate event records, tracking outstanding items, anticipating upcoming deadlines, and following through until the work is complete.
- Build repeatable, reliable processes by maintaining timelines, procedures, checklists, and systems that make each program easier to execute successfully.
- Create opportunities for meaningful member connection by coordinating networking and engagement events that bring Washington's CPA community together.
- Lead onsite event coordination from registration and speaker support to catering, room setup, troubleshooting, and session flow.
- Deliver excellent service by communicating clearly and promptly with members, speakers, sponsors, vendors, volunteers, and colleagues.
- Partner with marketing to drive attendance by providing accurate, timely program information and coordinating event promotions and communications.
- High school diploma or equivalency.
- One year of experience in organizing and coordinating conferences/similar functions with some experience in managing speakers, booking venues, and coordinating logistics.
- One to three years' experience in an administrative and/or customer service role.
- College coursework in liberal arts, office applications or related field a plus.
- Association or not-for-profit experience a plus.
- Strong customer service experience with the ability to interact professionally with members, vendors, sponsors, and other stakeholders.
- Excellent written and verbal communication skills and ability to handle inquiries, communicate event details clearly, and collaborate effectively with teams.
- Strong organizational skills with the ability to manage multiple tasks and deadlines with experience working independently and with teams to deliver high-quality outcomes.
- High proficiency in word processing and spreadsheet software, including Word, Excel and PowerPoint. Database experience helpful. Proficient in business writing, spelling, grammar and proofing. Employee Benefits

This full-time, 37.5 hours per week position is an FLSA (Fair Labor Standards Act) Non-Exempt hourly position. The hiring wage rate is $27.00-$30.00 per hour DOE.
