- Full-time, W-2 Gatherline Events organizes conferences, team meetings, and client events for businesses and nonprofit organizations.
We're looking for an Event Coordinator to help turn approved plans into well-organized events. You'll work with an Event Producer, supporting registration, supplier coordination, schedules, and on-site delivery. You won't be expected to lead complex events independently from day one. What you'll do Maintain event schedules, task lists, guest records, and planning documents. Request supplier quotes and confirm arrangements for catering, audiovisual equipment, signage, and transportation. Prepare attendee communications, joining instructions, name badges, and registration materials. Track confirmations, deadlines, and approved costs, raising missing information or changes promptly. Support events on-site by coordinating check-in, briefing suppliers, and helping guests find the right information. Collect feedback and organize receipts, invoices, and outstanding items after each event. The Event Producer owns the overall budget, client commitments, and major supplier decisions. You'll receive clear approval limits and a named escalation contact. What you'll bring Around one to two years of experience in events, hospitality, administration, or another role involving bookings and customer coordination. Strong organization and accuracy when handling names, dates, quantities, and instructions. Clear communication with guests, colleagues, and suppliers. Confidence using spreadsheets, shared calendars, and presentation tools. The ability to stay composed when plans change and ask for support when needed. Relevant internships, volunteer event work, and community projects count toward experience. A college degree and event-management certification are not required. Familiarity with registration platforms is helpful; training is provided. Schedule, location, and travel During planning weeks, expect approximately 40 working hours , usually Monday-Friday during Central Time business hours. The normal arrangement is three days in our Chicago office and two days remote. Event assignments replace the usual office schedule and can include early starts, evenings, or weekends. Expect approximately one or two evening or weekend assignments per month , with busier periods communicated through the event calendar. Event weeks may reach 45-50 hours . All working hours are recorded, and hours worked above 40 in a workweek are paid at 1.5 times your regular rate. Meal breaks are separate from working hours. Most events are in Greater Chicago. Expect up to four domestic trips annually, usually lasting two to three nights. Approved transportation, accommodation, and meals are covered, and required business travel time is paid under our company policy. On-site work includes extended periods of standing and walking and handling light event materials. Reasonable accommodations are available. Pay and benefits $27-$30 per hour , based on relevant coordination and event experience. Approximately $56,160-$62,400 annually at 2,080 paid hours, excluding overtime. No commission.
