This position turns the Executive Director's event vision into an organized plan and ensures that the many details required for successful Chamber events are completed accurately and on time. The Event Coordinator works closely with the Executive Director, Chamber members, sponsors, vendors, venues, volunteers, and community partners. This position requires someone who is highly organized, comfortable managing multiple deadlines, enjoys working with people, and can remain flexible and solutions-focused when plans change. Key Responsibilities Event Planning & Coordination Develop and maintain timelines and checklists for Chamber events Coordinate venues, vendors, food and beverage providers, entertainment, rentals, signage, supplies, volunteers, and other event needs Manage event registration details and attendee lists Coordinate setup, check-in, event flow, breakdown, and post-event needs Maintain event calendars, deadlines, and operational documents Identify logistical needs and potential issues well in advance of events Create, post and share social media content via Instagram and Facebook Other duties as requested or required by the Executive Director or Staff Lead Sponsors, Vendors & Partners Coordinate event details and deliverables with confirmed sponsors and partners Work hand in hand with the Executive Director to secure partnerships and sponsorships Collect logos, promotional materials, booth information, and other required assets Communicate setup instructions, deadlines, arrival times, and event-day expectations Track sponsor benefits to ensure promised recognition and deliverables are fulfilled Provide a professional and responsive experience for vendors and event partners Event-Day Leadership Serve as the primary operational lead for assigned events Direct vendors, volunteers, and event setup Manage and recruit volunteers Manage registration and check-in processes Troubleshoot event-day issues and make appropriate operational decisions Ensure Chamber events are welcoming, organized, professional, and consistent with the Chamber brand Post-Event Coordinate event wrap-up and return of supplies or equipment Ensure invoices, receipts, attendance information, and other event records are submitted Track event attendance and other key metrics Participate in post-event evaluations and recommend improvements for future events Maintain event files, templates, checklists, and historical information Qualifications Strong organizational and project-management skills Excellent communication and interpersonal skills Ability to manage multiple events and deadlines simultaneously Strong attention to detail and follow-through Comfortable working independently while keeping the Executive Director informed Ability to work occasional evenings and weekends based on the Chamber event calendar 3 years event coordination, hospitality, nonprofit, community organization, or project coordination experience preferred Ability to lift, carry, push or pull objects weighing up to 50lbs, also requires frequent bending, stooping, twisting, crouching and reaching, and the ability to sit or stand for extended periods Comfortable using online registration systems, CRM, spreadsheets, email, and other business technology ChamberMate, Canva, Adobe, Google Workspace, and Microsoft Office Suite experience a plus Ideal Candidate The ideal Event Coordinator is someone who sees a complicated event and immediately starts creating a checklist and asking how we can take this to the next level. They enjoy making things happen behind the scenes, have a "Yes! Let's do it" attitude, and anticipate what will be needed, communicate clearly, and take pride in creating an exceptional experience for attendees, sponsors, and partners. Day of event changes are handled with a smile and quick problem solving attitude. Nothing can shake them.
Pay:
$23.00 - $25.00 per hour Expected hours: 15.0 per week
