Company Overview The Siesta Key Chamber of Commerce is a volunteer and board-driven not-for-profit organization dedicated to preserving, promoting, and enhancing the Siesta Key business district and community. Our mission is to foster a robust local economy through effective marketing, member services, and tourism initiatives. Position Summary The Events Manager is the driving force behind the Chamber's most visible and impactful initiatives, responsible for planning, coordinating, and executing a year-round calendar of high-profile events that showcase the Siesta Key community, engage members, and generate essential revenue. This position requires a strategic thinker with exceptional organizational skills, attention to detail, and the ability to oversee multiple complex projects at once. The Events Manager must combine operational skills with a hospitable, professional presence, building strong relationships with members, sponsors, volunteers, and the public. This is a hands-on role that requires creative problem-solving, financial management, and the ability to keep multiple moving parts in sync while maintaining the highest standards of quality. Key Responsibilities Lead the full life cycle of all Chamber events, from concept to completion, including but not limited to: Annual Awards Dinner, Easter Egg Hunt, Golf Tournament, July 4th Fireworks, Siesta Key Crystal Classic, Holiday Parade, Holiday Party, monthly breakfasts and luncheons, and networking events. Develop, manage, and track event budgets, (including preparing check requests, invoicing, and financial reporting), create and maintain event production schedules, timelines, vendor contracts, sponsorship agreements, and complete and file all required local and state event permits. Oversee and efficiently prepare all event logistics including event concepts, attendee invite lists, registration and final attendee lists in Chamber database, create and manage event invites, manage and track RSVP's, vendor assignments, sponsorship activations, silent auction/raffle procurement, supply inventory, site layout, materials design, production, printing, on-site operations, and more. Drive fundraising efforts by securing sponsorships, cultivating donor relationships, and ensuring complete and timely sponsorship fulfillment. Maximize event visibility through effective promotion on social media, the Chamber website, newsletters, and community outreach channels. Serve as a public face of the Chamber during events, ensuring guests, members, and sponsors feel valued and supported. Negotiate costs and services with vendors, draft contracts as requested, research, visit and book event spaces, arrange food/beverage, order supplies/decorations, coordinate A/V equipment & operation, make travel arrangements, manage events in Outlook Events calendar and Chamber website. Maintain meticulous records for events, contacts, budgets, and post-event reporting. Direct and supervise all aspects of event set-up, execution, and breakdown, ensuring each event is delivered on time, on budget, and with excellence. Work collaboratively with Chamber committees, volunteers, and staff to align event goals with the Chamber's mission and priorities. Lead event planning and production meetings and discussions with diverse groups of stakeholders. Perform additional duties as assigned 3+ years of proven experience managing multiple large-scale events in a fast-paced environment with a high degree of precision. Exceptional written and verbal communication skills. Proficiency in social media management, email marketing platforms (e.g., Constant Contact), website content management, and Microsoft Office Suite. Positive, professional, and solution-focused demeanor, with the ability to inspire confidence in diverse stakeholders. Demonstrated ability to negotiate contracts, manage vendors, and oversee complex budgets. Physical & Schedule Requirements Ability to lift and carry up to 30 lbs. and to stand or walk for extended periods during events. Reliable transportation and willingness to travel locally as required. Flexible schedule with availability to work some evenings, weekends, and holidays when required. This position is based onsite and does not offer remote work or telecommuting options.
