About Tum Hi Ho Events Tum Hi Ho Events is a wedding planning and coordination company specializing in South Asian and multicultural weddings and events. Our team works closely with couples, families, and vendors to coordinate thoughtful, organized, and seamless event experiences. From pre-event planning and logistics to on-site execution, our coordinators are hands-on, detail-oriented, and committed to providing a high level of service throughout the wedding experience.
Role Description:
Tum Hi Ho Events, LLC is seeking an experienced, enthusiastic, and polished Lead Coordinator to lead the coordination and execution of assigned events The Lead Coordinator serves as a primary point of contact for clients, vendors, and the Tum Hi Ho Events team throughout the coordination process Responsibilities include client and vendor communication, meetings, timeline development, event preparation, team coordination, and overseeing event-day logistics and execution The ideal Lead Coordinator is organized, professional, client-focused, and solutions-oriented, with the ability to lead a team, manage multiple priorities, and remain calm and decisive in fast-paced event environments
Candidate Requirements:
2+ years of event industry experience as an event coordinator Proficiency with Google Workspace and Microsoft Office, including Word, Excel, and PowerPoint Willingness to be trained in various software applications Valid US driver's license and reliable access to a vehicle Availability on weekends, as well as some weekdays and weeknights Professional appearance and business-professional attire required at all events

Lead Coordinator Pre-Event Scope of Services:
Communicate with all guests, vendors, clients and client families with utmost respect at all times prior to and on day-of event Attend required pre-event meetings and conference or virtual calls related to assigned events Manage client and vendor timelines based on client questionnaires, vendor information, and confirmed event details Create, edit, and update client files and event materials to confirm, including but not limited to: Final guest counts, day-of timelines, menu selections, Photo Shot list, Guest list, Check list, inventory checklist, linens, room layouts, vendor information, and special requests Coordinate an in-person venue walkthrough with the client and applicable vendors approximately 4-6 weeks prior to the event, when needed Meet with the management at major planning milestones outlined in the Lead Coordinator Checklist and obtain required approvals before proceeding Review all event materials and ensure a thorough understanding of event requirements prior to the event day Define and communicate team members' assigned roles and responsibilities for each event Schedule and lead a pre-event team meeting during the week of the event to review the timeline, assignments, logistics, and any areas of concern Obtaining all event related inventory from the client prior to the first event
Lead Coordinator On-Site Scope of Services:
Oversee and manage event setup in coordination with vendors, venue staff, and the Tum Hi Ho Events team Ensure clients, client families, wedding parties, vendors, and other designated VIPs are appropriately supported by the coordination team throughout the event Greet and assist guests throughout the event and ensure guest needs and requests are addressed promptly and professionally Direct guests to appropriate event areas as needed, including ceremony and reception spaces, restrooms, exits, parking, bars, and other designated locations Coordinate with vendors during setup and throughout the event regarding placement, timing, and event logistics Lead, guide, and support Assistant Coordinators and work collaboratively with venue and banquet staff throughout the event Confirm event details are executed according to the approved event booklet, timeline, and client plans Serve as a primary resource for the couple and wedding party regarding upcoming activities, timing, and schedule changes Maintain and manage the event timeline while coordinating scheduled activities and transitions throughout the day Anticipate potential issues, troubleshoot unforeseen circumstances, and take appropriate independent or team action to reach a timely resolution Collect payments from clients on behalf of Tum Hi Ho Events when required Disburse payments to vendors on behalf of clients when authorized and the required client waiver has been completed
Lead Coordinator Post-Event Scope of Services:
Send Thank You messages to Vendors, Venues, Wedding Party, Family and Client within three (3) days of conclusion of last THH coordinated event Submit Post-Wedding Lead Coordinator Survey Request client and vendor reviews following the event, when applicable
Pay:
