Sunday / Event Coordinator
Job Description
Job Overview We are looking for someone who can thoughtfully plan, communicate clearly, execute with excellence, and manage every event within budget—creating moments of "Wow" along the way. The Coordinator takes ownership of each event from start to finish, ensuring that details are anticipated, responsibilities are clear, and nothing falls through the cracks. While staff and volunteers share in the work, this role provides the leadership, coordination, and follow-through needed to bring every event to life and create experiences that help people feel welcomed, valued, and excited to be part of Oceanhills. Areas of Responsibility Sunday Experience Ensure the first impression of the Junior High, or Church by the Beach location, is clean and safe and feels warm and inviting. Recruit, train, support, and appreciate the Welcome Team and Security Team members. Collaborate the Communion elements and stage set up with the Director of Worship & Creative Arts for the first Sunday service of each month. Create a lively, warm, and inviting post-church patio experience. Ensure there is appropriate signage that helps guests navigate their entire Sunday morning experience. Make recommendations of improvements for the Sunday experience and execute on recommendations when appropriate. Collaborate and plan all 'out of sanctuary' elements for Special Sundays with the appropriate staff. Coordinate the day of activities. Work within the allocated budget. Special Events Work with staff in the overall design and vision of events. Plan and coordinate events including but not limited to, Christmas, Ash Wednesday, Good Friday, Easter, Advent Brunch, Volunteer Appreciation, staff and leadership retreats, and special Sundays. Identify parking needs for events and communicate the plan with staff and attendees. Coordinate volunteers for the day of, if needed. Execute events with excellence, hospitality, and attention to detail. Develop timelines, checklists, budgets, and logistics for every event. Communicate event goals and expectations to staff and leaders. Serve as the primary point of contact and sees to the overall success of each event. Coordinate vendors, rentals, and service providers as needed. Delegate responsibilities to volunteers and staff while maintaining overall accountability for event success. Create a positive, team-oriented environment where volunteers feel valued and equipped. Perform post-event evaluations, identifying what went well and opportunities for improvement. Maintain a working document for each event that captures helpful information, and feedback for the following year.
