Job Description

Position Summary The Sales Operations Administrator plays a critical role in supporting Homestyle Direct's Growth team by driving the coordination and execution of conferences, events, and sales operations activities nationwide. This is a highly visible, fast-paced position that sits at the center of our sales organization, ensuring our team is prepared, organized, and positioned to succeed before, during, and after each engagement. Homestyle Direct participates in and sponsors a high volume of industry events across the U.S., often attending one or more conferences each week. This role is responsible for managing all event logistics end-to-end, including registration, sponsorship coordination, material preparation, and shipment. In addition, the Sales Operations Administrator supports pre-event outreach, helps drive engagement during events, and ensures timely and effective follow-up afterward to maximize conversion opportunities. Beyond events, this role serves as a key operational partner to the sales teams supporting CRM management, marketing coordination, internal communications, and customer-facing activities. As a fast-growing organization, Homestyle Direct is continuously refining its processes and materials. This individual is expected to proactively identify opportunities for improvement and bring forward recommendations that enhance efficiency and effectiveness across the Growth organization. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while working cross-functionally with sales representatives, leadership, marketing, and operations teams. Key Responsibilities Event & Conference Coordination Coordinate all national, regional, and local conferences, including registration, payment, and logistics. Ensure booth materials are prepared and delivered, including marketing materials, swag, table coverings, banners, and any event-specific requirements. Prepare and organize "blue folders" and other materials for customer engagement. Manage pre-event outreach to attendees, including introductory emails and meeting coordination. Support social media promotion tied to conferences and events, ensuring messaging aligns with audience and objectives. Coordinate post-event follow-up, including outreach, meeting scheduling, and information sharing. Sales Support & Operations Process and manage sample meal requests; follow up to confirm delivery and satisfaction. Input and maintain accurate contact information in Sugar CRM, including conference attendees and in-service participants. Ensure CRM data integrity, including updating addresses for marketing material distribution. Assist with follow-up on referrals that have not yet been captured in internal systems. Support case managers with meal cancellations or pauses as needed. Marketing & Content Support Maintain and update marketing materials, including PowerPoint decks, one-pagers, and sales kits. Assist sales and marketing teams in developing presentations and content. Ensure materials are current, accessible, and aligned with brand standards. Meeting & Webinar Support Coordinate internal and external meetings, including logistics for senior leadership. Support webinars by ensuring speakers are prepared and systems are functioning properly. Manage online seminar logistics, including chat moderation and documentation. Coordinate distribution of CEU credits for clinical attendees' post-event. Cross-Functional Collaboration Serve as a liaison between the sales team and internal operational teams. Assist in QA preparation for key accounts and customers. Support documentation and coordination during sales kickoff calls. Provide general administrative and operational support to the Growth team as needed. Perform additional duties as assigned. Qualifications Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Excellent communication and collaboration skills Experience working cross-functionally with sales and leadership teams. Knowledge of the healthcare industry preferred Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) Experience with CRM platforms; Sugar CRM experience is a plus.
