Full Job Description Overview:
The Fort Worth Club is recognized as one of the country's premiere private city clubs. Due to its prime location and 125 years of history in downtown Fort Worth, the Club is Fort Worth's preferred destination for private dining, business meetings, weddings, and society events. The Catering department is responsible for approximately $3.5 million in revenue, with over 2500 event bookings annually, and 15 meeting and banquet rooms accommodating groups from 2 to 1200 guests. The Fort Worth Club is a highly demanding environment where the best in the industry are trained to succeed.
Basic Function:
The Events & Catering Coordinator is responsible for achieving member relations and guest satisfaction through the event booking and planning process. They are responsible for various events with guest counts up to 100 people, as well as assisting Catering Managers on larger 100+ person events. The Coordinator will increase revenue in the Catering Department by following departmental policies and procedures, closing sales leads, and up-selling during event planning. The Events & Catering Coordinator will also be responsible for communicating details to banquet and kitchen staff and gathering all details from clients to ensure the event is fully detailed.
Job Duties:
Support Catering Managers by adhering to department policies and procedures, assisting with event management, greeting at events and demonstrating exceptional interpersonal skills. Maintain oversight and management of private room scheduling in ReServe, including but not limited to the following types of events: o Business meetings, breakfasts, lunches and dinners o Small Social events, breakfasts, lunches and dinners o Small Non-profit events, breakfasts, lunches and dinner o Recurring Weekly, Monthly, Quarterly and Annual Groups Meet with event hosts to conduct sales tours, planning meetings, tastings, and greet at start of events. Verify all function set-ups for the day and following day by doing walk-throughs and communicating with banquet staff. Receive 3 day guarantees of guest counts Finalize event order details including: o Creating diagrams if necessary o Confirming food, beverage and setup needs with hosts in a timely manner Participate in production and distribution of daily banquet changes and guarantees. o Daily route packet (Monday- Friday) o Weekly route master packet (Tuesday) o Prepare for weekly master packet review (Friday) Participate in production and distribution of elevator sheets and marquis signs. Check and return all messages the same day. Follow-up on new business leads to secure bookings and maximize room utilization. Maintaining policies and procedures within the office Attend weekly food and beverage meetings Building relationships between employees and members
Requirements:
Minimum of 1 year event coordination required in private club or upscale hotel or comparable environment.
Preferred Qualifications:
Four-year college degree (major in Hospitality, Business or Marketing preferred), prior event coordination experience preferred.
Skills:
  • Proficient in basic computer programs including Word & Excel
  • Excellent organizational and time management skills
  • Knowledge of menu planning, timelines and room layouts
  • Knowledge of and ability to demonstrate proper business and dining etiquette
  • Ability to handle stressful situations with calmness and grace

  • Peak season will require heavier workload or increased hours per week
  • 25% of time in staff meetings and on special projects
  • 30% of time spent on administrative work, event detailing, creating BEO's and floor plans, reporting, conducting calendar audits, billing
  • 20% of time spent meeting with clients, planning meetings and on floor during Fort Worth Club member event and private events
  • 25% of time spent on telephone with scheduling, sales and event planning
