An Event Planner coordinates promotional sales events, professional meetings and family events. Works with clients, develops event plans and budgets, finds appropriate sites, contracts for services and supplies, coordinates with on-site staff, oversees finances and assists during an event.
Under the direction of the Marketing & Events Coordinator, assists in the operation of special events. Interacts with the public in a professional manner. The City typically hosts one to four events monthly. Events primarily occur on Fridays, Saturdays and/or Sundays.

Uses tact, diplomacy, and a helpful attitude in all contact with the public and other employees. Communicates effectively and courteously with the public, City Council, and coworkers in person, in writing, and by phone.
ESSENTIAL JOB FUNCTIONS
Assists with event setup and breakdown, including City booths, chairs, tables, and other equipment. Provides support to vendors and attendees, addressing inquiries and requests. Performs other duties as assigned. Assists with general parade or event support. Implement safety measures and crowd management.
KNOWLEDGE, SKILLS & ABILITIES
Knowledge of basic mathematical principles. Ability to follow oral and written instructions. Ability to develop and maintain effective working relationships. Ability to work well under stressful conditions.
QUALIFICATIONS
Availability on the 1st Saturday of each month to assist with Helotes Marketplace. Bilingual (English/Spanish) preferred. Flexibility to work shifts that vary based on event schedules.
PHYSICAL REQUIREMENTS
May be required to carry, hold, lift, push and pull a minimum of 50lbs. Visual acuity, speech, hearing, hand-eye coordination and manual dexterity. Outdoor working conditions, including exposure to heat, cold, wind, and rain. Physically demanding tasks, including carrying, holding, lifting, pushing, and pulling event materials. All employees are subject to random drug testing.
WORK HOURS
As required based on event schedules. Shifts vary from month to month. Not all staff will be scheduled for every event, but flexibility is essential.
