Job Description
Job Overview DWJ & Co. is seeking a dependable, resourceful Event Coordinator to support the planning and execution of client events as projects are booked. This role is ideal for someone who can take ownership, communicate clearly, stay organized under pressure, and help us strengthen the systems, relationships, and service quality that will grow the company. This is not a guaranteed-hours position. The coordinator may accept or decline each offered assignment. The scope, deliverables, project fee, reimbursable expenses, and payment schedule will be confirmed in writing before work begins.
Primary Responsibilities :
Support events from initial planning through post-event closeout, based on the assigned scope of work. Maintain timelines, task lists, budgets, vendor details, guest counts, floor plans, and event documentation. Coordinate with venues, caterers, audiovisual teams, decorators, photographers, speakers, sponsors, and other vendors. Track deadlines, approvals, deposits, contracts, and client-provided materials; raise risks early and recommend solutions. Prepare meeting agendas, notes, status updates, production schedules, checklists, and run-of-show documents. Assist with registration, guest communications, staffing assignments, load-in, event setup, onsite execution, and breakdown. Provide professional, responsive service to clients, guests, vendors, and team members. Organize event files and keep project-management and client-relationship systems accurate and current. Complete post-event follow-up, vendor reconciliation, lessons learned, and file closeout. Growth Responsibilities Help turn successful event practices into repeatable templates, checklists, workflows, and standard operating procedures. Identify potential clients, referral partners, venues, and vendors that align with DWJ & Co.'s services. Support approved outreach, proposal preparation, follow-up, and relationship-building activities. Look for ways to improve the client experience, protect margins, reduce last-minute issues, and create repeat business. Represent DWJ & Co. professionally and protect confidential client, vendor, pricing, and business information.Required Qualifications:
At least two years of event coordination, project coordination, hospitality, operations, or comparable experience. Strong organization, follow-through, written communication, and client-service skills. Ability to manage changing priorities, solve problems calmly, and meet firm deadlines with limited supervision. Working knowledge of Google Workspace or Microsoft Office and comfort learning project-management and CRM platforms. Reliable phone, computer, internet access, and transportation to assigned event locations. Ability to work agreed event hours, which may include early mornings, evenings, weekends, and limited travel. Preferred Qualifications Experience with corporate events, conferences, retreats, workshops, awards programs, or community events. Experience with Asana, Canva, Google Workspace, CRM systems, registration tools, or event platforms. Vendor sourcing, budgeting, sponsorship support, sales follow-up, or business-development experience. Existing professional relationships within the Dallas-Fort Worth events market. Physical and Work Requirements Event assignments may require extended periods of standing or walking, moving through active event spaces, and lifting or carrying supplies weighing up to 25 pounds, with or without reasonable accommodation. Specific site conditions and essential functions will be shared for each assignment. Compensation and Project Terms Project-based compensation; the fee or approved hourly rate will be agreed in writing before each assignment. Assignments are generally offered only after the related client engagement is confirmed and funded. Payment timing, invoicing requirements, approved expenses, cancellation terms, and any performance or referral incentive will be stated in the applicable independent-contractor agreement or project scope. No minimum number of projects, hours, or earnings is promised. The contractor is responsible for applicable taxes, insurance, licenses, and ordinary business expenses unless a written agreement states otherwise. Independent Contractor Relationship The selected coordinator will provide services as an independent contractor for accepted projects and will not be eligible for employee benefits. The contractor will control the manner and means used to complete the agreed deliverables, subject to client requirements, event schedules, safety rules, confidentiality obligations, and DWJ & Co. quality standards. Classification will be based on the actual working relationship, not the position title alone.
