Overview This position is responsible for the strategic planning, execution, and management of corporate meetings, executive events, conferences, and special programs. This role serves as a trusted advisor to business stakeholders, providing consultative guidance, white-glove service, and exceptional event experiences while ensuring fiscal responsibility, compliance, and operational excellence. The ideal candidate is a polished, executive-facing professional with detail oriented and organized as well as deep expertise in Cvent, strong business acumen, and the ability to independently manage high-profile meetings in a fast-paced corporate environment. This individual must confidently engage with senior leaders, anticipate client needs, and consistently deliver flawless execution from concept through completion. This position is fully onsite and requires attendance at the client office ExxonMobil Houston Campus in Spring five days per week. Responsibilities : Lead the end-to-end planning and execution of corporate meetings, leadership events, conferences, and special programs. Serve as the primary point of contact and strategic advisor for business stakeholders and meeting sponsors. Provide proactive recommendations on meeting design, attendee experience, logistics, and event best practices. Build and maintain strong relationships with executives, clients, suppliers, and internal partners. Manage all event logistics, including venue sourcing, registration, transportation, accommodations, audiovisual production, catering, and onsite execution. Develop and maintain comprehensive project timelines, work plans, and event communications. Lead planning meetings, stakeholder reviews, and vendor coordination calls. Manage meeting budgets, forecasting, reconciliation, and cost-saving initiatives while ensuring transparency and financial compliance. Negotiate contracts and manage supplier relationships to secure the best value and service outcomes. Manage Cvent attendee management including event websites, registration, attendee communications, reporting, surveys, mobile apps, and onsite solutions. Supervise and support onsite Meetings & Events resources, helping drive consistency, quality, and continuous improvement. Ensure adherence to client policies, compliance requirements, reporting standards, and audit readiness. Identify process improvements and innovative solutions that enhance service delivery and stakeholder satisfaction. Qualifications : Bachelor's degree requested, and CMP preferred. Minimum of 10 years of corporate meeting and event management experience including: vendor sourcing, contract negotiation, and production & supplier management experience. Deep proficiency in Cvent, event build and registration management, attendee tracking, event communications, budgeting, reporting, mobile event technology, and onsite event operations. Proven experience managing complex event budgets and financial reporting. Experience supporting executive-level stakeholders and high-visibility meetings. Strong understanding of meeting logistics, venue operations, travel management, and event production. Excellent verbal and written communication skills. Strong organizational, project management, and problem-solving capabilities. Ability to manage multiple priorities while maintaining exceptional attention to detail. Proficiency in Microsoft Office Suite, Microsoft Teams, Webex, and Zoom. International meetings and event experience are highly desirable. Requires ability to work other shifts and weekends and more than 40 hours/week, as necessary.
