The RoleAs the Travel and Events Specialist, you are the high-energy engine driving our facility and the primary voice of our professional environment. As a logistics champion, you drive team success by upholding a "WOW" office environment, overseeing travel arrangements, and ensuring all meeting necessities (from refreshments to stationery) are perfectly managed. Beyond typical booking, you serve as a trusted subject matter expert, emceeing premier events and managing complex details with high autonomy and excellence.

Key Focus Areas (What Youll Be Great At)
Travel & Expense Ownership:
Direct end-to-end domestic and international itineraries with precision. Serve as the policy expert while ensuring 100% accuracy in monthly reconciliations for training and travel expenses.
Facility Excellence:
Own a guest-ready workspace by proactively managing inventory and refreshments. From coffee service to cafeteria vouchers, you ensure every session is perfectly fueled and professionally staged.
Event Flow & Logistics:
Orchestrate recurring training programs and large-scale annual events. You lead the charge from initial planning to on-site execution, ensuring every transition is seamless and on track.
Hosting & Emceeing:
Command the room at major gatherings with upbeat, confident energy. Hype the crowd, manage the mic, and adapt your approach for seamless virtual and hybrid delivery.

Key ResponsibilitiesArrange travel logistics for employees, including domestic and international airfare, accommodations, ground transportation, and travel itineraries.

Monitor, track and and reconcile travel and event related expenses to ensure policy compliance and cost-effectiveness.

Lead the planning, coordination, and execution of company events, conferences, and training programs, including internal and external venues.

Source and negotiate vendor contracts while designing event flow, run-of-show, and floor plans to ensure seamless event delivery.

Travel to and manage events on-site, serving as the lead point of contact to ensure smooth execution and resolution of any real-time issues.

Operates as a subject matter expert with high autonomy, independently managing the end-to-end event and travel lifecycle while providing regular status reports to the ManagerCollaborate cross-functionally with internal departments to ensure event alignment with company goals.

Communicate proactively with the Front Desk and other stakeholders regarding event logistics, special accommodations, and updates.

Collect feedback from stakeholders and attendees to evaluate event success, prepare reports, and suggest improvements for future events based on findings.

Manage virtual/hybrid event platforms and streaming logistics when applicable.

QualificationsPrior experience in logistics coordination, office operations, or corporate event planningStrong judgment and organizational skills, particularly regarding budget and policy complianceConfident, upbeat public speaker comfortable emceeing and hosting diverse corporate groupsCalm and professional under pressure; able to shift quickly from back-end planning to front-facing hostingReliable and punctual with a commitment to maintaining a guest-ready facility at all timesThis is a salary position, with an annual range of $45,000-$55,000, to commensurate with experience. We offer an excellent benefit package including Medical, Dental, Vision, Profit Sharing and 401(k) Plan as well as a roof top cafe, an on-site exercise facility, free exercise classes and a health and wellness program. This contractor and subcontractor shall abide by the requirements of 41 CFR 60-1.4(a), 60-300.5(a) and 60-741.5(a).
