Job Description

Description Our company is seeking an organized, detail-oriented Meeting Planner to manage the planning and execution of meetings, conferences, and events. In this critical role, you will collaborate with internal teams, external vendors, and clients to create memorable experiences that align with organizational goals and brand standards. This position is onsite Monday to Friday and is an opportunity to work for a non-profit organization that offers an excellent benefits package. Responsibilities + Coordinate and manage all aspects of meetings and events, including site selection, contract negotiation, budgeting, logistics, catering, transportation, audio/visual requirements, and on-site management. + Partner with internal and external stakeholders to determine event objectives and logistics. + Develop detailed timelines, checklists, and floorplans to ensure seamless event execution. + Monitor and track budget compliance; prepare post-event expense reports and analyses. + Negotiate with vendors and suppliers to achieve the best value while maintaining high-quality service. + Manage registration processes, attendee lists, and communications. + Troubleshoot and resolve issues effectively in real-time during events. + Maintain accurate records and documentation. Requirements + Bachelor's degree in hospitality management, Communications, or related field preferred. + Requires at least 1 year of hands-on experience in meeting or event planning. + Proficient in Microsoft Office Suite, with strong skills in Outlook, Word, Excel, and PowerPoint. + Experienced in coordinating events from inception to completion. + Excellent communication, negotiation, and project management skills. + Ability to work under pressure and meet tight deadlines. + Proficiency with digital event platforms and tools (e.g., Cvent, Zoom, Microsoft Office). + Opportunity to work for a non-profit organization that offers an excellent benefits package.
