This position serves as the primary client contact from booking through event execution—developing the event, identifying opportunities to enhance the guest experience, coordinating internal departments and outside vendors, and ensuring every detail is properly planned and communicated. The Event Planner & Coordinator serves as the central point of coordination between the client, Event Sales, Operations and outside vendors , with responsibility for ensuring all departments are prepared to execute the final event plan. The ideal candidate combines event planning, hospitality, organization, creativity and sales ability and is comfortable taking a basic event booking and developing it into a complete experience. Key Responsibilities Take ownership of events following contract and deposit. Partner with Event Sales to ensure a seamless handoff from booking to planning. Conduct client planning meetings to establish vision, budget, timeline and event needs. Recommend and sell additional Park experiences including food, beverage, private spaces, bowling, gaming, karaoke and entertainment. Identify opportunities to increase the value of each event through thoughtful upgrades and enhancements. Coordinate outside services including décor, balloons, flowers, cakes, entertainment, DJs, photography, photo booths, signage and rentals. Build and maintain relationships with preferred event vendors. Prepare and manage enhancement pricing, vendor costs and client approvals while meeting established revenue and margin expectations. Establish planning deadlines and obtain final guest counts, menu selections, layouts and client approvals. Develop event timelines, room setups, service requirements and detailed Banquet Event Orders (BEOs). Maintain accurate client records, event changes, payments and final event details. Coordinate event details with Culinary, FOH, Facilities, Entertainment and Management. Lead pre-event coordination for larger or more complex events. Manage vendor schedules, deliveries, setup and event-day requirements. Identify and resolve potential planning or execution issues before the event. Oversee key events as needed and ensure the client has a clear point of contact throughout the event. Conduct post-event follow-up and develop opportunities for repeat business and referrals. Assist in creating new event packages, enhancements and revenue-producing services. Qualifications Experience in event planning, hospitality, catering, banquets, venue management, event sales or a related field. Excellent client communication and relationship-building skills. Strong organizational skills with the ability to manage multiple events and deadlines. Comfortable presenting options, making recommendations and upselling services. Creative eye for event experiences and attention to detail. Ability to coordinate multiple departments and outside vendors. Strong sense of ownership and follow-through. Availability to work evenings and weekends based on event schedules. Success in This Role Success in this position will be measured by the quality and organization of each event, client satisfaction, increased event revenue through upgrades and enhancements, accuracy and timeliness of event planning, successful execution, and the ability to create repeat business and referrals. Compensation Base Salary:
$45,000-$75,000 annually, based on experience, qualifications, and demonstrated ability. Additional earning potential may be available through performance-based commissions and incentives tied to event enhancements, upselling, and additional event revenue.
