00 per hour General Position Summary The Events Supervisor is responsible for growing The Rainier Club's private event business, with particular emphasis on weddings and private celebrations, and for leading the planning and delivery of Club and committee events. This is first and foremost a sales role: the Events Supervisor builds a steady pipeline of member-hosted and member-sponsored business, converts inquiries into booked events, and cultivates the repeat and referral business that sustains the Club's event revenue. The Events Supervisor is equally accountable for the quality of what the Club sells. Working with the Executive Chef and the Food & Beverage team, they lead the upgrade of the Club's event presentation, including table settings, buffet and station equipment, and table florals and décor, so that every wedding, dinner and celebration reflects the character and standard of a Club established in 1888. They oversee private events of every kind, including weddings, corporate functions, private parties and celebrations of life, as well as Club events delivered in person, virtually or in hybrid format. The successful candidate is creative, with a genuine flair for hospitality and event design, and equally grounded in the business of events: pricing, budgets, margins and the discipline to ensure every event contributes to the Club's financial health. Duties and Responsibilities
PRIVATE EVENT & WEDDING SALES
  • Own the private event sales pipeline from first inquiry through signed contract, with a focus on weddings, rehearsal dinners, engagement parties, milestone celebrations, corporate functions and celebrations of life.
  • Develop and execute an annual private events sales plan, with revenue and booking targets set in consultation with the General Manager.
  • Respond to all inquiries within one business day; conduct site tours; prepare proposals, menus, contracts and pricing; negotiate and close.
  • Position the Club in the Seattle wedding market by building relationships with wedding planners, photographers, florists and preferred vendors, and by representing the Club at bridal shows and industry events.
  • Work with the Club's marketing partners to develop wedding and private event collateral, website content, photography and social media that showcase the Club's rooms and presentation, in keeping with the Club's Brand Guide.
  • Encourage members to host and refer private events, and develop member-sponsorship programs that extend the Club's reach to qualified guests.
  • Develop tiered wedding and private event packages that include food, beverage, florals, linens and décor, with clear upsell options.
  • Maintain accurate records in the sales and catering system; report weekly on leads, conversion rates, booked revenue and forecast.
  • Follow up personally after every event: send a thank-you to the host, and to the wedding planner or event planner where one was involved, and ask for feedback, referrals and testimonials to build repeat business.
EVENT PRESENTATION & STANDARDS
  • Lead the upgrade of the Club's event presentation, including table settings (linens, china, glassware, flatware, chargers), buffet and station equipment, and table florals and centerpieces.
  • Audit current event inventory for condition, quantity and style; recommend upgrades with costing and phasing for approval by the General Manager.
  • Establish written and photographed setup standards for each room and event style so that presentation is consistent from one event to the next.
  • Source florists, rental and décor vendors and supervise their work on event days; negotiate preferred pricing and develop signature floral and décor offerings that can be sold into wedding and private event packages.
  • Partner with the Executive Chef on buffet, station and plated presentation, and on menus developed for wedding and private event packages.
  • Ensure proper care, storage and inventory control of all event equipment, linens and tabletop items.
PRIVATE EVENT PLANNING & EXECUTION
  • Obtain all information required for efficient event planning, including room setup, food and beverage specifications, florals and décor, and AV requirements; communicate these to operating departments according to Club guidelines.
  • Prepare and distribute Event Orders, floor plans and related documents.
  • Conduct weekly event review meetings with the Food & Beverage and banquet teams.
  • Act as the client's single point of contact and liaison with operating departments, monitoring client satisfaction throughout planning and on the day of the event.
  • Maintain a comprehensive working knowledge of all operating departments.
CLUB EVENTS
  • Develop and plan Club and committee programs in collaboration with volunteer-led social committees.
  • Work from and keep current the Committee Menu Guide, updating it with the Executive Chef so committees plan from approved menus, pricing and options.
  • Build every event with a conscious effort to do better than break even. Use the Club's approved profit tool and guide to set pricing and minimum attendance and to identify loss, break-even and profitability indicators before an event is confirmed.
  • Develop and track a budget for each event, and review actual results against the profit tool after each event to improve future programming.
  • Work with the marketing department to promote Club events, following the Club's Brand Guide for language, imagery and the Club's mission in all event communications.
  • Collaborate with the Food & Beverage and Membership teams to deliver events that showcase The Rainier Club's brand and achieve strong attendance.
  • Lead, assist with and attend Club functions as needed.
  • Send a thank-you to committee chairs and volunteer organizers after each Club event, sharing attendance and results and noting lessons for the next program. GENERAL
  • Achieve assigned goals and objectives, managing time efficiently and productively.
  • Develop and maintain favourable working relationships and open communication with all departments.
  • Establish and maintain positive, professional relationships with clients.
  • Comply with accounting standards for deposits, direct billing and pre-payment.
  • Develop a full working knowledge of all applicable standards, policies and procedures, and attend required meetings. Additional job functions may be assigned based on the Club's business needs as determined by the General Manager. Desired Experience and Skills
  • Minimum of three years of hospitality, catering or wedding sales experience, with a demonstrated record of meeting or exceeding revenue targets.
  • Wedding sales experience strongly preferred; an established network of Seattle-area wedding planners and vendors is a distinct advantage.
  • Strong sales, negotiation and closing skills.
  • Creative, with sound business knowledge: comfortable with pricing, budgets, margins and break-even analysis, and able to balance member experience with financial results.
  • A refined eye for tabletop, floral and event design, with knowledge of current wedding and event trends.
  • Strong knowledge of the food and beverage industry; private club and supervisory experience strongly preferred.
  • Excellent written and verbal communication skills; extremely organized, with strong problem-solving skills under pressure.
  • Flexible, cooperative team player able to collaborate across marketing, membership and food and beverage.
  • Skilled at client research and staying current on industry trends and developments.
  • Proficient in Word, Excel, PowerPoint and Outlook; experience with catering sales and CRM software preferred.
  • Ability to walk, stand and bend continuously and lift up to 25 pounds; flexible schedule including evenings, weekends and some holidays.
