Position Summary:
The Flight Crew Support Specialist provides day-to-day administrative and operational support to flight crewmembers. This position ensures timely resolution of pilot inquiries, facilitates interdepartmental communication, and coordinates key administrative processes related to crew operations and compliance. The role plays an essential part in maintaining pilot engagement and operational efficiency across the airline.
Major Job Accountabilities:
Manage the departmental email inbox, hotline, and Freshdesk ticketing system to ensure prompt and professional responses. Collaborate with HR, Payroll, IT, and Scheduling to identify, troubleshoot, and resolve pilot issues, ensuring minimal disruption to flight operations and positive crew experience. Organize and track pilot issues and follow up on open cases. Troubleshoot IT, expense report, and technical issues reported by flight crews. Maintain familiarity with the pilot Collective Bargaining Agreement (CBA) and company policies. Maintain confidentiality and precision in all administrative functions to safeguard sensitive information, uphold organizational integrity, and ensure compliance with HIPAA and related privacy regulations. Support with Flight Crew Incident Reports (FCRs) to ensure accountability, which is critical for maintaining operational safety, regulatory compliance, and continuous improvement within flight operations. Coordinate and manage crew recognition initiatives, including sending virtual birthday cards and organizing departmental functions and celebrations. Maintain appropriate inventory levels of recognition materials, including retirement pins, greeting cards, and related items, ensuring consistent availability. Administer uniform orders and inquiries, ensuring timely processing and resolution in collaboration with approved vendors. Facilitate in the coordination, documentation, and communication of Med Air cases, ensuring compliance with operational protocols and timely support to relevant teams. Establish and maintain effective relationships with external vendors to support daily operational requirements and service delivery standards. Provide logistical and administrative support to the Chief Pilot's Office for meetings, events, and pilot engagement. Monitor, manage, and replenish office supplies to ensure a professional and efficient work environment. Promote clear and consistent communication between crew members and management. Deliver high-quality customer service by ensuring professional, responsive, and solution-oriented support to flight crewmembers. Support company initiatives related to pilot engagement, welfare, and feedback. Perform other duties as directed by the
Manager, Flight Crew Operations Support Qualifications:
High school diploma required; college degree preferred. Minimum 4 years of aviation or administrative experience; familiarity with Part 121/135 operations preferred. Strong working knowledge of Microsoft Office Suite; experience with Freshdesk or similar systems preferred.
