• We are seeking a dependable, highly organized Office Assistant to provide clerical, reservation, and office support for our growing hospitality business. This position is ideal for someone who is comfortable managing multiple tasks, communicates professionally by phone and email, has excellent computer and keyboarding skills, and can work independently once trained. Priority consideration will be given to applicants with strong administrative, clerical, secretarial, and customer-service skills. Applicants with a college degree and relevant experience are also strongly encouraged to apply.
Qualifications :
Excellent written and verbal communication skills, including strong grammar, spelling, and professional correspondence skills. Strong clerical, administrative, and secretarial skills. Strong keyboarding and data-entry skills with excellent attention to detail. Comfortable working on Mac computers , using the Internet, email, websites, and web-based business software. Strong organizational skills with the ability to prioritize and manage multiple tasks at once. Professional, personable phone manner and the ability to communicate comfortably with prospective guests and clients. Ability to follow detailed procedures, checklists, and instructions accurately. Ability to receive daily direction from a supervisor while becoming increasingly independent as training progresses. Ability to maintain confidentiality and follow privacy and non-disclosure requirements regarding guests, clients, and company information. Ability to remain calm, professional, polite, and tactful when dealing with difficult or frustrated guests. Dependable, flexible, and willing to adjust hours during peak periods or unexpected situations. Willingness to occasionally work weekends and/or later evening hours during busy periods or when business needs require additional assistance. Reliable daily transportation and consistent attendance are critical requirements for this position. Willingness to become thoroughly familiar with Bama Bed & Breakfast, our properties, services, policies, and website. Applicants should be comfortable occasionally assisting with weddings, events, or other B&B operations when needed. Applicants will be tested on grammar, computer proficiency, and other administrative skills as part of the interview process.
Primary Administrative Responsibilities:
Answer and respond to phone calls and emails from prospective and current guests and clients. Enter and manage online reservations while carefully following established procedures and checklists. Perform data entry and maintain accurate guest, reservation, and property information. Add new rental properties and information to our website. Assist with website updates and other business-related computer tasks. Prepare, organize, and maintain documents, records, correspondence, and other clerical information. Complete routine administrative and office tasks as assigned. Follow up on guest inquiries, reservations, and other outstanding items as needed. Work closely with a supervisor and follow established systems and procedures. Learn the details of our B&B, vacation rentals, and services in order to accurately answer guest questions and provide administrative support.
Occasional Operational Responsibilities:
While this is primarily an administrative position , our business is in the hospitality industry, and all team members occasionally assist with operations when needed.
These duties may include:
Assisting with guest arrivals or departures, including occasional evenings or weekends. Assisting with breakfast preparation, clean-up, or guest interaction at the B&B when additional help is needed. Assisting with wedding or event setup and other event-related needs, including occasional weekends or evenings. Helping with other hospitality-related duties during especially busy periods or unexpected situations. These responsibilities are secondary to the primary administrative duties of this position but are an important part of working as a team in a small hospitality business.
Training & Schedule:
During the initial training period, the employee will be in a probationary/training status and will generally work Monday-Friday, approximately 8:30 a.m.-4:30 p.m. Once trained, the hours would be Thursday through Monday with off days being on Tuesdays and Wednesdays. It requires working split hours on the days you would be assigned to work. This means that you would come into the office for three hours, and then you would return home and work remotely from approximately 4pm to 9pm. We are a property management company for vacation rentals in Tuscaloosa, and we operate a bed and breakfast where we do weddings and events. Our company must have office coverage on weekends and early evenings. Once training is successfully completed, Because hospitality is a seven-day-a-week business, applicants must have some scheduling flexibility and be willing to work additional or adjusted hours during peak weeks, special events, and unusual or unexpected circumstances. Reliable daily transportation is essential. This position requires consistent, dependable attendance and the ability to report to work as scheduled.
Compensation:
Pay Range:
$16.00-$18 per hour , based on experience, qualifications, and demonstrated skills. There are opportunities for increased compensation and growth as the employee gains experience, demonstrates reliability, and develops the ability to handle responsibilities independently.
