Responsibilities Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; assist individuals with disabilities; thank guests with genuine appreciation. Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel valued from the moment they arrive Manage multi-line phone systems, directing calls efficiently and professionally while handling inquiries with clarity and courtesy Maintain organized filing systems, data entry logs, and spreadsheets to support office operations and record-keeping Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize productivity Support office management tasks such as ordering supplies, managing correspondence, and maintaining cleanliness of the reception area Utilize computer skills including Microsoft Office (Word, Excel) and productivity software to prepare documents, reports, and presentations Handle clerical duties such as copying, scanning, faxing documents, and maintaining accurate records with attention to detail Organize, confirm, process, and conduct all guest check-ins/check-outs, room reservations, requests, changes, and cancellations. Secure payment; verify and adjust billing. Activate and file room keys. Process all guest requests and relay messages. Print contingency lists to have a record of all guests in case of emergency. Identify and explain room features to guests; supply guests with directions and information regarding property amenities, services, and hours of operation, and local areas of interest. Ensure that any outstanding requests or problems from the previous day receive priority and are resolved. Run and review daily reports/logs. Complete designated cashier and closing reports in the computer system. Accept and record wake-up call requests and deliver to appropriate department. Count bank at beginning and end of shift; secure bank. Process all payment types, adjustment vouchers, paid-outs, correction vouchers, and miscellaneous charges; provide change. Notify Loss Prevention/Security of any guest reports of theft. Follow all company policies and procedures; report accidents, injuries, and unsafe work conditions to manager; ensure uniform and personal appearance are clean and professional; Maintain confidentiality of proprietary information; protect company assets. Speak with others using clear and professional language; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals. Comply with quality assurance expectations and standards. Requirements Energetic Positive attitude Customer service experience Great communication skills Open availability (holidays required) Ability to multitask Fast learner Responsible Reliable Ability to handle stressful situations in a professional and calm manner Ability to stand for 8 hours and move up and down stairs Looking for the "jack of all trades" to help at the front desk Proven experience in office management or administrative support roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and general technical proficiency Strong communication skills including phone etiquette and client communication abilities; bilingual skills are a plus Prior experience working at a front desk or in customer service roles demonstrating professionalism and friendliness Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail Familiarity with office equipment such as multi-line phone systems, fax machines, scanners, and printers Demonstrated time management skills with the ability to prioritize tasks effectively Personal assistant or clerical experience is advantageous but not required; willingness to learn is essential Come join the Holiday Inn Express Union City family.
