In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Responsibilities Greet visitors, clients, and vendors with enthusiasm, ensuring a warm and professional first impression Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace tools Maintain organized filing systems, both digital and paper-based, for easy retrieval of documents Support office management activities such as calendar scheduling, appointment setting, and basic bookkeeping with QuickBooks or similar software Assist with client communication through email correspondence and follow-up calls to ensure excellent customer support Perform clerical duties including proofreading documents, managing incoming correspondence, and supporting administrative projects Qualifications Proven experience in office management or administrative roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software Prior experience with data entry, filing systems, and clerical tasks in a professional setting Strong customer service skills with the ability to communicate effectively via phone and in person Bilingual abilities are highly desirable to serve diverse client needs Familiarity with multi-line phone systems, calendar management, and basic bookkeeping (QuickBooks preferred) Demonstrated ability to handle multiple priorities efficiently while maintaining attention to detail Previous experience as a front desk or receptionist in medical or dental offices is a plus
