Front Desk/Receptionist Job Description:
Collaborate in several administration and front desk tasks to maintain a systematic process of all the documentation received and a controlled system of purchasing by phone and job materials for projects.

Key Functions and Requirements:
Main functions:
  • Correspondence
  • Receive all correspondence. Sorting, distribute, scan, and save correspondence to its appropriate department.
  • Phone calls
  • answer the phone and transfer to the corresponding team member.
  • Hotel reservation
  • book reservation for the foreman working out of town.
Inventory:
Keep inventory of materials on hand.
  • Control the inventory in the office warehouse
  • this task includes to placing orders, receiving the material and in some cases ensuring delivery to the foreman.
  • Register all the Hotel Reservations booked in the reservation Log and then forward the info to the accounting department.
  • Register all the purchases made over the phone in the Material log.
  • Drop off correspondence to the Post Office every Friday.
Requirements:
o Bilingual (Spanish and English) o Proficiency in Microsoft Office o High school diploma or equivalent o Excellent organizational skills and attention to detail o Knowledge of basic office equipment o Professional and courteous o Able to perform clerical tasks such as data entry, filing, and photocopying o Provide administrative support to the office as needed o Proven experience as a receptionist, front desk or similar role preferred o Strong interpersonal and communication skills with ability to interact effectively with clients and colleagues o Strong problem-solving skills o Works well under pressure o Excellent time management skills o Quick learner
