In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism. Handle all clerical tasks including data entry, filing, proofreading, and maintaining accurate records using tools like Microsoft Office and Google Workspace. Support office management duties such as calendar management, appointment scheduling, and coordinating meetings or events. Assist with customer support by addressing inquiries via phone or email, providing clear information and follow-up as needed. Maintain a tidy and organized front desk area, ensuring all office supplies are stocked and equipment is functioning properly. Perform light bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping when required. Experience Prior office experience or administrative support roles demonstrating strong organizational skills and attention to detail. Proven customer service experience with excellent phone etiquette and interpersonal skills. Familiarity with computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tasks. Bilingual abilities are highly valued to effectively communicate with diverse populations. Experience working in medical or dental reception is a plus but not required; relevant personal assistant or clerical experience is beneficial. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Knowledge of office management procedures such as filing systems, proofing documents, and calendar management enhances your effectiveness in this role.
