Job Overview We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and organizational skills will help create a positive environment for clients, visitors, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems, directing calls efficiently and professionally while maintaining excellent phone etiquette. Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools. Maintain organized filing systems, process paperwork, and perform clerical duties including proofreading and document management. Support office management activities such as calendar scheduling, appointment setting, and calendar management for staff or executives. Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to support financial record keeping. Provide customer support by addressing inquiries, resolving issues efficiently, and communicating clearly with clients or patients in bilingual settings if applicable. Qualifications Proven experience in office administration, front desk operations, or related clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy. Excellent communication skills with a professional phone manner; experience with multi-line phone systems is preferred. Ability to manage multiple tasks simultaneously while maintaining attention to detail; time management skills are essential. Bilingual abilities are a plus to enhance client communication in diverse environments. Previous experience in customer service or medical/dental receptionist roles is highly desirable. Familiarity with office management tools such as spreadsheets, filing systems, and data entry processes.
