Job Description
Description We are looking for a dependable Mailroom Coordinator 1 to support daily mail and office services for a client site in Seattle, Washington. This Contract position is ideal for someone who enjoys organized, hands-on work and can manage multiple service tasks while maintaining a detail-oriented and customer-focused approach. The role contributes to smooth site operations by coordinating mail distribution, supporting shared office areas, and assisting with front-of-house and workplace service needs.
Responsibilities:
- Receive, sort, document, and distribute incoming mail, courier items, and deliveries to the correct recipients in a timely manner.
- Prepare outgoing mail and packages, ensuring accurate labeling, proper routing, and complete processing records.
- Maintain electronic logs, package tracking details, and other mailroom documentation to support accurate reporting and follow-up.
- Investigate delivery questions and work directly with clients or carriers to resolve issues related to mail or package status.
- Keep mail stops, package storage areas, and related workspaces organized and operating efficiently.
- Monitor inventory levels in copy centers and mailroom supply areas, replenishing materials and completing routine inspections as needed.
- Provide day-to-day assistance for Flex Desk users and step in to support reception coverage when business needs require it.
- Conduct regular audits of safety equipment and assist with additional site support tasks, including asset retirement activities and operational improvement efforts.
- Contribute to service performance goals by following client procedures, supporting KPI expectations, and identifying opportunities to improve efficiency and service quality. Requirements
- Experience in a mailroom, office services, reception, or administrative support environment.
- Ability to manage incoming and outgoing mail, courier shipments, and delivery records with strong attention to detail.
- Comfortable using electronic logs, tracking tools, and standard office technology to maintain accurate documentation.
- Strong customer service and communication skills for working with clients, vendors, and internal teams.
- Ability to handle routine inspections, supply monitoring, and basic auditing responsibilities independently.
- Proven ability to stay organized, prioritize multiple tasks, and meet service expectations in a fast-paced setting.
- Detail-oriented, reliable, and team-oriented approach with a commitment to workplace policies and quality standards.
