Executive Assistant & SLC Guest Services Coordinator Summit Leadership Center Miramar Beach, FL (on-site) Part-Time, Non-Exempt (Hourly) Not benefits-eligible Base pay: $26-$29/hour, commensurate with experience.
Schedule:

Position Summary The Executive Assistant & SLC Guest Services Coordinator provides high-level administrative support to the CEO and coordinates the guest experience for Summit Leadership Center (SLC) retreats and events. This role is ideal for someone who is highly dependable, exceptionally organized, operates well under pressure, and anticipates needs before they become problems — someone who is passionate about unlocking Kingdom destinies and expanding the Kingdom through acts of service. Because this position works closely with executive leadership, donors, and ministry guests, it requires an exceptional level of dependability, trustworthiness, and confidentiality. The person in this role will regularly handle sensitive information and personal details, and must be someone whose discretion is complete and whose word can be counted on. Key Responsibilities Executive Support to the CEO Support the CEO in her responsibilities for SLC and in supporting the Founder — including travel coordination, professional communication, and event bookings. Manage correspondence, scheduling, flight bookings, meetings, reservations, and itineraries; run occasional ministry-related errands. Track follow-up items and organize information, documents, and schedules so the CEO can remain focused on higher-level leadership. Additional duties as assigned. SLC Events & Guest Services Assist with retreat and event registrations, bookings, and warm, professional guest communication before, during, and after events. Coordinate guest details — schedules, arrival information, accommodations, dietary needs, itineraries, and welcome materials. Coordinate transportation, reservations, meals, supplies, and other event logistics; maintain accurate guest lists and schedules. Assist with hospitality preparation, including room setup and teardown, so guest-facing spaces are ready for arrival. Be available on-site during key SLC events to troubleshoot needs and ensure an excellent guest experience. Travel to event sites as needed to support setup, coordination, and guest hospitality (see Compensation for travel-day pay structure). Donor & Relationship Support Support thoughtful, timely donor communication, follow-up, and stewardship; help coordinate donor visits, hospitality, and gifts. Maintain accurate notes on important relationships and help ensure donors, partners, and guests feel known, valued, and cared for. What Success Looks Like The person in this role becomes someone the CEO can depend on completely. They notice details, remember what needs to happen, follow through without repeated reminders, and take initiative when something is missing. At SLC events, guests experience warmth, excellence, and intentional hospitality because the details have been thoughtfully handled behind the scenes — and the CEO can confidently delegate a responsibility knowing it will be carried through accurately and professionally. Core Qualifications & Characteristics Exceptional attention to detail — accuracy matters, particularly with travel, schedules, guest information, and communication. Dependability and trustworthiness — follows through consistently, closes loops, and can be counted on when it matters. Reliability is the baseline. Initiative and ownership — sees what needs to be done, takes action, and owns assignments from beginning to completion. Organization and communication — manages multiple moving pieces and deadlines while communicating warmly and clearly with guests, donors, and team members. Discretion and confidentiality — guards sensitive information, private conversations, and personal details without exception. Hospitality, flexibility, and a teachable spirit — genuinely enjoys serving people, adapts as priorities shift, and receives feedback well. Ability to travel periodically for event coordination, and physical ability to assist with room setup and teardown (no major lifting required). Ideal Experience Experience in one or more of the following is beneficial: executive or personal assistance; event, retreat, or hospitality coordination; guest services or travel coordination; donor relations; or church, ministry, nonprofit, or high-touch service environments.
