As an integral part of the educational mission of Northern Illinois University, the Holmes Student Center is committed to providing the campus community with a gathering place that enhances student life, cultivates unity and promotes development through a variety of cultural, educational, social and recreational programs. The Assistant Manager is a key component to the successful operation of the Hotel at Holmes. The Assistant Manager is responsible for the hiring, training, scheduling and supervision of hotel information desk and housekeeping staff. They provide a high level of customer service for students, visitors, and guests at the Holmes Student Center. They analyze hotel data, financials, and survey reports. They keep accurate records for audit purposes. The position assists with tracking budgets for student staffing and open orders. Position Summary This position supervises daily operations at the hotel information desk and in housekeeping to ensure the delivery of consistent quality customer service. Essential Duties and Responsibilities Supervision Assist in hiring, training, scheduling and supervision of hotel information desk staff. Assist in developing hotel policies, procedures, and creating staff training resources. Assist in hiring, training, scheduling, and supervision of housekeeping staff. Assist in creating housekeeping procedures and checklists. Responsible for payroll reporting for Hotel at Holmes. Enforce Holmes Student Center and Hotel at Holmes policies. Customer Service Provide a high level of customer service for students, visitors and guests of the Holmes Student Center and guests of the Hotel at Holmes. Staff the hotel front desk; answer questions and direct visitors to the correct campus resource or location. Respond to hotel phone calls and messages promptly. Make/book hotel guest reservations utilizing reservation software. Make hotel keys for guests. Assist and process hotel check in and check out procedures. Provide hotel guests with additional hospitality items as requested. Accommodate special needs and requests from guests. Check hotel email and respond to email inquiries. Reporting Run hotel data, financials, and survey reports. Keep accurate records for audit purposes. Assist with tracking budgets for student staffing and open orders. Perform inventory count of hotel supplies and equipment. Perform long-term equipment rotation plans. Alert manager when low on supplies or equipment that needs replacing. Housekeeping Assist in inspecting hotel rooms and spot cleaning as needed. Assist in folding hotel linens and stocking hotel supply closets and the hotel desk. Submit and follow up on work order issues. Other Related Duties Perform other related duties as assigned. Attend staff/training meetings as appropriate. Minimum Required Qualifications (Civil Service) Bachelor's degree. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required. See Required Specialty Factor(s) below: Knowledge, Skills, and Abilities (KSAs) (Civil Service) Knowledge of general office practices and procedures Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects Skill in oral and written communication Ability to work effectively with staff, the public, and outside constituency groups Ability to organize and multi-task Ability to supervise and knowledge of administrative concepts and methods. Ability to utilize various computer software packages Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems Specialty Factors (Civil Service) At least one (preferred more) of the following: Bachelor's degree in Hospitality, Business Management, Communications, or a related field. One (1) year of supervisory experience. Experience providing customer service in a guest or client-facing environment. Experience managing inventory, budgets, payroll, and/or data reporting. Preferred Qualifications (Civil Service) Bachelor's degree in Hospitality, Business Management, Communications, or a related field. At least one (1) year of experience working in a hotel. At least one (1) year of supervisory experience.
