Job Description
Derby City Hospitality is a fast-paced, family-owned hotel development and management company with a growing portfolio of limited-service hotels across Kentucky! We are now accepting applications for an Office Manager to support our corporate operations across our growing hotel portfolio. This position is currently hybrid, with the position based out of Louisville, KY. Derby City Hospitality reserves the right to convert this position to in-person and/or require periodic in-person meetings as business needs evolve. We will only consider candidates that have at least 3 years of relevant office management, bookkeeping, or administrative experience, ideally within hospitality, real estate, or a multi-entity business environment. Job Description As the Office Manager, you would be responsible for supporting the day-to-day administrative, financial, and HR functions across Derby City Hospitality's portfolio of hotel properties and affiliated ownership entities, ensuring smooth back-office operations that allow leadership and on-property teams to focus on guest service and growth. Duties and Responsibilities Process accounts payable/receivable, code invoices, and manage vendor payments across multiple properties and entities Support payroll processing, timekeeping review, and PTO tracking in coordination with property-level General Managers Assist in preparing USALI-format month-end owner packets and financial reporting Maintain personnel files, track required certifications, and support new-hire onboarding paperwork across properties Coordinate with outside CPA/bookkeeper on tax filings and financial recordkeeping Track entity-level compliance items (annual reports, registered agent renewals, licenses/permits) across multiple LLCs Organize and maintain loan documents, insurance certificates, and vendor contracts by property Support investor/ownership reporting cadence for company syndications Provide calendar, correspondence, and travel coordination support for company leadership Order office and property supplies and manage administrative vendor relationships Assist in maintaining SOPs, brand standard documentation, and compliance paperwork Perform other administrative duties and special projects as assigned Accountability Corporate support position serving a growing, multi-property hotel management and development company. Responsibilities span accounting support, HR administration, and entity-level compliance across several ownership entities and hotel properties. Position typically reports directly to company leadership/ownership. Qualifications and Requirements Minimum of three years of prior office management, bookkeeping, or administrative experience, or equivalent combination of education and experience. Experience in hospitality, real estate, or small-business/multi-entity environments preferred. Proficiency in QuickBooks or similar accounting software preferred. Must speak fluent English.
