It's not that complicated. There's plenty of sunshine, a buzzing pool scene and lots of local flavor. We are seeking a dynamic Group Housing and Events Coordinator to join our team. A successful candidate will have a genuine passion for the hospitality industry and an entrepreneurial spirit. Responsibilities 1. Must be courteous and gracious, maintaining a professional demeanor at all times 2. Establish and maintain good communications and teamwork with fellow colleagues and other departments within the hotel 3. Adhere to all standards of operations, policies and procedures, manuals, memos and verbal instructions 4. Maintain "open door" communication with employees to encourage employee engagement and resolve workplace concerns 5. Inspect all arriving hotel rooms, public spaces, exteriors and back of house daily and make necessary adjustments; coordinate room availability and priorities with the Front Office to ensure efficient operations and timely guest check-in 6. Notify Maintenance Department of any rooms that need to be placed out-of-order for maintenance concerns and follow up to ensure timely completion repairs. 7. Monitor housekeeping staff to ensure early room cleanliness for prompt check in 8. Ensure Associates are briefed on daily need and create board; Coordinates office operations for the Housekeeping Department, including scheduling, documentation, communication, and recordkeeping. 9. Respond appropriately to guest complaints; answers phones, emails, and communicate with other hotel departments and vendors. 10. Implement and enforce appropriate service recovery guidelines to ensure total guest satisfaction 11. Possess a thorough understanding of the Property Management System 12. Adhere to all standards of operations, policies and procedures, manuals, memos, purchase orders, invoices, and vendor documentation. 13. Determine appropriate staffing requirements based on occupancy forecasts, business levels, and productivity standards while effectively manage labor costs. 14. Implement process for providing employees with customer service, technical and safety training on an ongoing basis 15. Schedule and regularly conduct routine inspections of the guest rooms, corridors and public areas to ensure the appearance of such areas reflects highly on the hotel, brand, and Company 16. Coordinate and complete end-of-day housekeeping close-down procedures, including room status reconciliation, assignment follow-up, supply and linen readiness, and communication of outstanding issues to the appropriate departments. 17. Supervise the laundry operation (and/or outsourced relationship) 18. Monitor assigned departments with compliance to safety standards 19. Monitor and develop employee performance to include, but not limited to, providing supervision, conducting counseling, evaluations, setting annual goals and delivering recognition and reward 20. Ensure that current information on rates, packages and promotions is available for housekeeping knowledge 21. Anticipate low occupancy periods and coordinate blocking of rooms with Front Office Manager to maximize labor costs, deep cleaning and maintenance of rooms 22. Establish par levels for supplies, linen, uniform and equipment 23. Complete requisitions to replenish shortages or additional items needed for the anticipated business and balancing checkbook 24. Ensure that work is accurate, thorough, and to the standards of the Executive Housekeeper and the company 25. Develop actions plans to correct any deficiencies 26. Ensure staff understands their job expectations before holding them accountable 27. Seek to understand the guest and internal customer and meet the needs of both the customer and the company 28. Recruit, interview, onboard, train, coach, mentor, and develop housekeeping associates to achieve departmental and organizational goals. 29. Review employee timecards for payroll accuracy, correcting missing punches, clock-in/clock-out discrepancies, and payroll exceptions. 30. Assist Housekeeping staff with completing HR paperwork including benefit request forms, behavioral records, reports of injury, personnel action forms, etc. 31. Maintain awareness of documentation needed and retained in employee files; maintain confidentiality of employee and departmental information. 32.Be familiar with all safety and emergency procedures including OSHA requirements 33. Attend relevant meetings 34. Performs other administrative duties and operational duties as assigned Knowledge, Requirements and Skills High school diploma or equivalent At least two (2) years' experience in Housekeeping administration or management Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular) Advanced knowledge of the PMS software Bilingual (English-Spanish) preferred Outstanding communication and interpersonal skills Excellent reading, writing and oral proficiency in the English Language Excellent organizational and time management skills Must possess initiative, excellent guest service, and decision-making skills. Ability to type at least 40 words per minute. Ability to compute basic mathematical calculations. Ability to work well under pressure coordinating multiple requests at any given time. Ability to work cohesively with other departments and co-workers as part of a team. Flexibility in schedule. Ability to schedule various services for individuals. Ability to perform job functions with minimal supervision. Ability to relay instructions and ask for help.
