Job Description Job Overview The Clerk/Mailroom Attendant serves as a primary front-counter representative for the Clerk & Recorder's Office and provides administrative support across multiple office functions. This position is responsible for the processing and distribution of all iing and outgoing mail, operation of postage equipment, and maintenance of mailroom inventory and supplies. Essential Functions (Major Duties or Responsibilities) This position requires proficiency inputer applications and general office procedures, including basic accounting and bookkeeping practices. The successful applicant must possess the ability tomunicate effectively both orally and in writing; understand and interpret Montana laws, regulations, and office procedures; and provide courteous and professional customer service at all times. Duties include operating office equipment such asputers, scanners, copy machines, postage machines, microfilm reader/ers, and other standard office machines; typing, filing, indexing, retrieving, and maintaining records; processing iing and outgoing mail; maintaining mailroom supply inventory; handling legal documents and records; and assisting with election-related duties and equipment. The position also requires the ability to accurately research records, understand legal descriptions and recorded documents, maintain organized filing systems, and safely handle heavy books, boxes, mail containers, and voting equipment. Knowledge, Skills and Abilities Knowledge

  • Laws, regulations, and procedures relating to the recording and filing of documents;
  • Birth and death certificate processing and confidentiality requirements;
  • Election procedures and Montana election laws;
  • Mail handling procedures and operation of postage equipment;
  • General office practices and recordkeeping systems;
  • Basic accounting and bookkeeping procedures;
  • Operation of standard office equipment, includingputers, scanners, copiers, postage machines, and microfilm reader/ers;
  • Telephone etiquette and customer service practices. Skills/Abilities
  • Perform varied tasks efficiently while managing frequent interruptions and changing priorities;
  • Maintain accurate and organized records and prepare reports as required;
  • Communicate effectively and professionally both orally and in writing;
  • Work effectively with the public, co-workers, supervisors, elected officials, and other agencies;
  • Maintain strict confidentiality of sensitive information and records;
  • Follow verbal and written instructions accurately and efficiently;
  • Read, interpret, and laws, regulations, and office procedures related to Clerk & Recorder operations;
  • Accurately process documents, records, mail, and financial transactions;
  • Operate office and mailroom equipment safely and efficiently;
  • Lift and move books, mail trays, boxes, and election equipment weighing approximately 25 to 50 pounds;
  • Stand or remain on feet for extended periods of time when necessary. Minimum Qualifications (Education and Experience)
